The compensation offered to the candidate selected for the position will depend on several factors, including the candidate's educational background, skills and professional experience.

Job Overview:

The Surgery Scheduler schedules all surgical procedures and assures that all of the appropriate clinical and insurance coding information is collected for the surgery schedule. Scheduler receives requests to schedule procedures from physician offices and schedules the procedure according to established guidelines. Scheduler provides accurate information so that all departments may view daily and maintains open communication with hospital departments and physician offices regarding schedule changes.

Scheduling Requirements

  • Shift 12:00pm-8:30pm
  • Monday-Friday
  • Full Time-Evening

Essential Functions:

  • Manage and maintain the surgical schedule, ensuring optimal utilization of operating rooms and resources
  • Coordinate with surgeons, anesthesiologists, nurses, and other healthcare professionals to schedule surgeries, ensuring compatibility with their availability and patient needs,
  • Gather and verify necessary patient information, including medical history, insurance coverage, and necessary pre-operative procedures
  • Communicate with patients, providing detailed instructions regarding surgery preparation, including fasting guidelines, medication restrictions, and pre-operative testing requirements
  • Serve as a liaison between patients, medical professionals, and insurance companies to ensure all required authorizations and paperwork are completed accurately and in a timely manner
  • Manage and maintain accurate and up-to-date electronic records of surgical procedures, patient demographics, and pertinent medical information
  • Collaborate with the surgical team to coordinate necessary equipment, medications, and supplies for each procedure
  • Assist in resolving scheduling conflicts and accommodate urgent or emergency surgical cases as needed
  • Stay knowledgeable about advancements in surgical techniques, technology, and regulatory changes related to scheduling and patient care
  • Maintain strict confidentiality of patient information and uphold ethical standards in all interactions with patients and medical professionals
  • Refers questions regarding patient status to appropriate persons
  • Takes and relays messages accurately
  • Answers the intercom and relays messages accurately to appropriate persons
  • Prepares the final schedule in advance and assigns cases to the appropriate room considering special equipment requirements
  • Coordinates pre admission testing by scheduling ordered diagnostic tests and required lab work
  • Assumes secretarial responsibilities as needed
  • Perform clerical duties for the department such as: answer phones, order supplies, create schedules, manage scrub clothing inventory, walk patients to the surgical waiting room, assist with family questions and concerns
  • Responds in timely manner to all office and schedule inquiries
  • Enters all lab and transmittal orders needed for the department
  • Orders all paper and office supplies via hospital designated company for the department
  • Manages daily screening and PPE protocol for all personnel who enter into the restricted area
  • Utilizes technology such as: email, electronic scheduling system, EHR, excel, and electronic correspondence to efficiently perform job requirements and duties
  • Assists in the creation of poster board, memo, staff correspondence, workflow improvements, and technology implementations
  • Manage the scrub access and distribution for the department
  • Manage vendor access via hospital designated electronic vendor management platform
  • Performs other duties as directed
