Job description

Patient Service Representative
About the Role
Are you someone who thrives at the front lines of patient care - greeting people, solving problems, and keeping everything running smoothly? As a Patient Service Representative at Thundermist Health Center, you'll be the first point of contact for the patients and families we serve. You'll schedule appointments, register patients, answer phones, collect payments, and make sure every visitor feels welcomed and supported from the moment they walk in. This role is the heartbeat of our medical practice - and a chance to make a real difference in health equity for the communities that count on us.
What You'll Do
Patient Registration & Scheduling
  • Register patients by accurately entering demographics, insurance information, and all required data into the system.
  • Schedule, confirm, cancel, and reschedule patient appointments based on provider availability and clinical appropriateness.
  • Verify insurance coverage and update records when changes occur.
  • Collect co-payments and outstanding balances at the time of each visit.
  • Identify scheduling issues or emergent patient needs and direct them to the nursing team for triage.

Communication & Administrative Support
  • Answer all incoming calls promptly and route them appropriately.
  • Take complete, accurate messages and document them according to Thundermist procedures.
  • Perform outreach to patients for appointment reminders and follow-up communication.
  • Complete end-of-day closing reports and reconcile daily transactions.
  • Identify and report operational issues to appropriate staff for timely resolution.

What We're Looking For
You're organized, people-focused, and cool under pressure. You bring strong communication skills, sharp attention to detail, and a genuine commitment to making every patient feel seen and valued.
  • High school diploma or GED required.
  • Excellent oral and written communication skills.
  • Accurate data entry skills with the ability to manage high volumes in a fast-paced environment.
  • Experience with payment or billing collections and ambulatory care medical office settings is preferred - but if you don't check every box, we still encourage you to apply.
  • Knowledge of medical terminology is a plus.
  • A commitment to patient-centered care, health equity, and serving diverse, underserved communities.

Schedule & Locations
This is a Per Diem position. Clinical operations run 8:00 a.m. to 8:00 p.m., Monday through Friday and 8:00 a.m. to 5:00 p.m. Saturday and Sunday. You'll work shifts within those hours on a rotating schedule that includes evenings, weekends, and holidays. Occasional overtime may be required during vacation periods or staffing shortages.
Work Environment
You'll work entirely onsite in a medical office setting at our South County location.
  • Requires proficiency with computers, multi-line phone systems, and written message-taking.
  • Moderate physical activity including walking, standing, sitting, bending, and stretching throughout the day.

Our Values
Everything we do at Thundermist is guided by five core values: Integrity, Innovation, Excellence, Community, and Caring. If those resonate with you, you'll feel at home here.
