Job description

The Reporting and Payroll Clerk provides administrative support for a large solar construction project by maintaining accurate records, entering and reviewing data, preparing recurring reports, and assisting with timekeeping and payroll documentation. The clerk helps ensure information is accurate, complete, and submitted on schedule.


This position is best suited for someone dependable, organized, and comfortable completing detailed, repeatable work with limited supervision. Previous payroll, timekeeping, or certified payroll experience is preferred but not required. Project-specific training will be provided.

Responsibilities

  • Enter and maintain employee, timekeeping, payroll, and project data.
  • Prepare and distribute daily, weekly, and other recurring reports.
  • Review timesheets and supporting records for accuracy and completeness.
  • Identify missing or inconsistent data and follow up before deadlines.
  • Assist with payroll processing and supporting documentation.
  • Help prepare and submit certified payroll reports when required.
  • Maintain accurate electronic and paper files in accordance with project procedures.
  • Track report deadlines and promptly communicate any outstanding items.
  • Respond to routine questions about timekeeping, payroll records, and reports.
  • Protect confidential employee and payroll information.

Qualifications:

  • Dependable, organized, and comfortable with detailed, repeatable tasks.
  • Strong attention to detail and ability to recognize data discrepancies.
  • Previous administrative, clerical, data-entry, or reporting experience.
  • Comfortable using Excel, Word, Outlook, and electronic reporting systems.
  • Accurate keyboarding and data-entry skills.
  • Able to manage multiple assignments and meet recurring deadlines independently.
  • Clear written and verbal communication skills and willingness to follow up on missing information.
  • Payroll, timekeeping, or certified payroll experience is preferred but not required.
  • High school diploma or equivalent.


Work Environment

  • Work is performed primarily in an office or site office setting, supporting a solar construction project.
  • The position requires regular computer use and extended periods of data entry and record review.
