Job description

Job Summary: PGW Auto Glass is seeking a detail-oriented Payroll Associate to support accurate, timely, and compliant payroll operations across the United States and Canada.  This role provides hands-on support for weekly and semi-monthly payrolls, with particular emphasis on hourly payroll administration, payroll filings and reporting, timekeeping support, and other recurring payroll activities.  The Payroll Associate works closely with the Payroll Manager, HRIS, HR, and Finance teams to maintain accurate employee and payroll data and provide responsive service to employees.

Key Responsibilities & Duties:

·       Support the processing of weekly and semi-monthly payrolls (union and non-union) for U.S. multi-state and Canadian employees using our UKG platform.

·       Review, calculate, enter, and reconcile payroll data to support accurate and timely payroll processing.

·       Maintain payroll records and supporting documentation and assist with resolving discrepancies.

·       Perform assigned pre- and post-payroll audits and reconciliations.

·       Support federal, state, provincial, and local payroll filings, reporting, and compliance activities.

·       Respond to employee payroll inquiries and escalate complex matters to the Payroll Manager as appropriate.

·       Collaborate with HR Business Partners, HR Services, Benefits, HRIS, and Finance to support payroll accuracy and employee changes.

·       Maintain payroll procedures, checklists, and recurring processing documentation.

·       Support required U.S. and Canadian payroll reports, filings, and related administrative activities.

·       Assist with payroll-related payments, tax deposits, and banking transactions as assigned.

·       Process and maintain wage garnishments, levies, union dues, and other required deductions.

·       Support year-end payroll activities, including W-2s, tax filings, reconciliations, and related documentation.

·       Work with UKG support and external vendors to research and resolve routine payroll, tax, and notice-related issues.

·       Provide routine timekeeping and HRIS administrative support and contribute to continuous improvement initiatives across Payroll and HRIS.

Qualifications & Skills: 

·       Minimum of 1–3 years of payroll, HR, accounting, or related administrative experience; multi-state payroll experience preferred.

·       Union and/or Canadian payroll experience is a plus.

·       Experience with payroll or HRIS systems required; UKG Pro experience strongly preferred.

·       Proficiency with Microsoft Excel and other Microsoft Office applications.

·       Strong organizational, analytical, and problem-solving skills.

·       Strong verbal and written communication skills.

·       High attention to detail with a strong sense of ownership and accountability.

·       Ability to manage recurring deadlines and multiple priorities in a fast-paced environment.

·       Self-motivated, dependable, and able to work both independently and collaboratively.

·       Strong customer service mindset and discretion when handling confidential employee and payroll information.
