Job description

SUMMARY OF POSITION
The Payroll Administrator is a detail-oriented and trustworthy member of the finance team, responsible for processing accurate and timely biweekly payroll and managing related tasks, including timekeeping review, payroll records, and payroll tax compliance support. This is a part-time position with a consistent weekly schedule, and it requires handling sensitive information with the highest level of confidentiality.
MAJOR RESPONSIBILITIES
  • Process biweekly payroll accurately and on time, including wage calculations, deductions, and garnishments.
  • Review and reconcile timekeeping records weekly, following up with team members and supervisors to resolve discrepancies.
  • Maintain accurate payroll records, including new hires, terminations, pay rate changes, and direct deposit information.
  • Process payroll-related deductions and remittances, including retirement contributions and benefits deductions, in coordination with the Finance & Office Manager, who administers benefits.
  • Support payroll tax filings and year-end processes, including W-2 preparation and distribution.
  • Respond to team member payroll questions in a timely manner
  • Assist with certified payroll and prevailing wage reporting, as needed.
  • Maintain compliance with federal, state, and local payroll regulations and internal controls.

  • Other duties as assigned

Work Environment/Physical Requirements
  • Office environment/desk work on a regular basis
  • Moderate/as needed travel to job sites required

QUALIFICATIONS
Experience:
  • 2+ years of payroll processing or related accounting experience
  • Experience with construction accounting preferred
  • Associate's or Bachelor's degree in Accounting, Business, or related field preferred, or equivalent experience.

Required Skills:
  • Proficient in Microsoft Office suite - Word, Excel, Outlook
  • Proficient in payroll and timekeeping software; experience with Foundation Software a plus
  • Demonstrated ability to effectively lead self with limited supervision
  • Strong attention to detail and a high level of accuracy
  • Excellent organizational and time management skills
  • High level of discretion and confidentiality in handling sensitive information
  • Knowledge of certified payroll and prevailing wage requirements is a plus.

REPORTS TO
  • This role reports to the Controller.

SUPERVISION
  • The position does not have any regular responsibility for overseeing or supervising the work of other team members, however teamwork and direct communication with each other is expected and highly encouraged.

SCHEDULE
  • Part-time | Target 15 hours per week
  • Work hours | Weekly schedule, Tuesday and Wednesday (weekly in-office presence is required, including non-payroll weeks)
