Payroll Administrative Associate

Location: Corporate Office
Department: Corporate Administration
Reports To: Manager of Payroll

Position Summary

Sunrise Telecom is seeking a detail-oriented, organized, and dependable Payroll Administrative Associate to join our Corporate Office team. This position provides administrative support across Payroll, Production, Vendor Relations, and Compliance while assisting with payroll processing, production reporting, audits, vendor administration, and various operational initiatives.

The ideal candidate is highly organized, maintains strict confidentiality, enjoys working with data, and thrives in a fast-paced environment. This role works closely with Payroll, Human Resources, Vendor Relations, Finance, Operations, and field leadership to ensure accurate reporting, timely payroll processing, compliance with company and customer requirements, and overall operational efficiency.

Essential Duties & Responsibilities

Payroll Administration

  • Assist with weekly payroll processing for employees.
  • Review employee timesheets and payroll reports for accuracy and completeness.
  • Research and resolve payroll discrepancies in a timely manner.
  • Maintain confidential payroll records and employee information.
  • Assist employees with payroll-related questions and documentation.
  • Prepare payroll reports and supporting documentation for management.
  • Support year-end payroll activities and other payroll-related projects.
  • Ensure payroll documentation is accurate and properly maintained.

Production Support

  • Assist with the collection, review, and entry of production reports from field operations.
  • Verify production data for accuracy and completeness prior to payroll processing.
  • Reconcile production reports with payroll records and resolve discrepancies.
  • Generate production reports and performance metrics for management.
  • Maintain accurate production tracking spreadsheets and documentation.
  • Coordinate with field managers and supervisors to ensure production information is submitted accurately and on time.
  • Assist with production audits and quality assurance reviews.
  • Support Operations with reporting, tracking metrics, and production-related projects.
  • Identify reporting inconsistencies and recommend process improvements.

Vendor Relations & Compliance

  • Assist with onboarding new subcontractors and vendors.
  • Maintain vendor records and ensure required documentation remains current.
  • Track contractor certifications, insurance certificates, licenses, and compliance requirements.
  • Monitor expiration dates and communicate with vendors regarding outstanding documentation.
  • Assist with vendor compliance programs and contractor management.
  • Support customer compliance requirements and documentation requests.
  • Maintain organized electronic and physical filing systems.

Audits & Reporting

  • Assist with internal and external audits by gathering documentation and preparing reports.
  • Review employee and contractor files for completeness and accuracy.
  • Ensure company records comply with customer and regulatory requirements.
  • Track audit findings and assist with corrective actions as needed.
  • Prepare spreadsheets, reports, and dashboards using Microsoft Excel.
  • Compile and distribute reports for leadership and department managers.

Administrative Support

  • Provide administrative support to Payroll, Operations, Vendor Relations, and Human Resources.
  • Maintain accurate records within company databases and software systems.
  • Assist with special projects and process improvement initiatives.
  • Answer incoming calls and respond to internal and external inquiries professionally.
  • Maintain confidentiality regarding employee, payroll, financial, and company information.
  • Perform other duties as assigned.

Qualifications

Required Qualifications

  • High school diploma or GED required; Associate's degree in Business, Accounting, Human Resources, or a related field preferred.
  • Two (2) or more years of administrative experience in payroll, accounting, human resources, finance, or a corporate office environment.
  • Strong proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
  • Excellent attention to detail with strong organizational skills.
  • Ability to prioritize multiple tasks while meeting deadlines.
  • Strong analytical, problem-solving, and communication skills.
  • Ability to maintain confidential information with professionalism and discretion.

Preferred Qualifications

  • Experience with payroll processing.
  • Experience using ADP Workforce Now or similar payroll/HRIS systems.
  • Experience supporting audits, compliance, or vendor management.
