Job description

Overview
The Payroll Coordinator is accountable to the Payroll Manager and is responsible for supporting accurate and timely payroll processing for BISSELL Homecare, Inc. and subsidiaries' payrolls. This role assists with hourly and salaried payroll activities, validates payroll and timekeeping data, helps resolve routine associate payroll questions, and supports payroll reporting, reconciliations, and compliance-related activities. The position requires working knowledge of computerized payroll processing, time and attendance systems, basic payroll tax concepts, associate benefit programs, spreadsheets, and HRIS/payroll data validation.
Responsibilities
  • Works collaboratively with the payroll team to support processing and distribution of BISSELL Homecare, Inc. and subsidiaries payrolls, including weekly, bi-weekly, special, bonus, and spot payrolls for hourly and salaried Associates.
  • Assists with payroll audits, reconciliations, routine issue resolution, and compliance with company policy and applicable federal, state, and IRS requirements.
  • Calculates special pay for overtime, holiday, disability and other special pay circumstances.
  • Assists with payroll tax and unemployment reconciliations.
  • Responsible for accurate and timely processing of all wage verifications, wage assignments, and garnishments.
  • Supports year-end W-2 processing by assisting with data validation, reconciliation of wages, taxes, pre-tax deductions, taxable fringes, and other compensation adjustments against annual payroll reports.
  • Assists with payroll audit activities and payroll account reconciliations.
  • Prepares or supports preparation of payroll journal entries for review, including wages, overtime, shift premiums, and salaried payroll entries.
  • Supports maintenance of the electronic time clock system for hourly Associates and assists with collection and validation of hourly timecard reports. Responsibilities include but are not limited to:
    • Maintaining the electronic timesheet program for non-exempt associates under payroll team guidance.
    • Validates timekeeping data received from Associates.
    • Verifies validity of charges, schedules and calculations.
    • Reviews time sheets, reports, and work schedules; reviews and reconciles errors with employees, management and within system.
    • Ensures programmed calculations in automated system perform accurately on standard workday, vacation, holiday, absence, short-time or other conditions affecting employees' pay or accounting distribution.
    • Responds to routine employee and management questions and escalates complex issues as appropriate.
    • Assists with training and proper guidance for newly hired associates and managers on timekeeping systems and reinforces compliance with organization procedures and processes.
    • Coordinates and audits attendance system information for tardiness and absenteeism for hourly Associates and partners with Human Resources to address potential policy infractions as directed.
  • Responds to inquiries from Associates regarding deductions, calculations, and changes in compensation and work with other departments as needed to resolve issues impacting pay.
  • May perform analyses and reviews of data, develop reports for supervision review.
  • Assists with the preparation of annual Plan and the various Plan Updates.
  • Assists with various aspects of the annual Open Enrollment Benefit process.
  • May interact with all levels of associates within the company.
  • Contact and partner with our third-party payroll providers as needed.
  • Assists the Payroll Manager and payroll team with special projects, process improvements, and assignments as requested.
  • May be required to perform other duties as assigned.

Qualifications
REQUIRED EXPERIENCE/EDUCATION
  • Degree minimum: Associate degree with experience
  • Specific concentration: Business or Accounting
  • Experience level: 2+ years relevant and/or related experience

PREFERRED EXPERIENCE/EDUCATION
  • ADP Workforce Now or equivalent experience preferred.
  • ADP eTime or time and attendance experience preferred
  • Basic Accounting knowledge

SKILLS and SPECIALIZED TRAINING/EDUCATION REQUIRED
This position requires the ability to manage a quick flow of data, detailed analysis and validation of data, reporting from multiple systems, and requires the associate to communicate in both verbal and written forms to a various group of peers.
