About the Role
The Patient Experience Coordinator is a key part of the patient journey, creating a welcoming and seamless experience from the first interaction. This role supports scheduling, patient check-in and check-out, incoming calls, payments, and day-to-day clinic operations while partnering closely with clinical and administrative teams.
We are seeking a Patient Experience Coordinator to join Pinnacle Fertility - Washington in a full-time, onsite position in Seattle, WA working from 7:00 AM - 4:00 PM. with flexibility based on clinic needs and participation in a rotating weekend and holiday schedule.
New to Fertility? We'll Train You.
Fertility experience is not required. We're open to training the right person on the fertility side of the role. Whether you bring strong customer service experience, are a recent graduate, or are looking to pivot into healthcare, we're looking for someone who is compassionate, eager to learn, adaptable, and excited to grow in reproductive medicine.
Opportunities to Grow
This role is an exciting entry point into fertility healthcare, offering exposure to both the patient-facing and operational sides of the organization. As you build your skills and experience, there may be opportunities to grow into areas such as Patient Navigation, Financial Counseling, clinic operations, and other evolving areas of the business. For Bachelor of Science graduates, depending on degree and qualifications, there may also be opportunities to explore laboratory-based roles.
As Pinnacle Fertility continues to grow and evolve, you'll also have the opportunity to contribute to new initiatives, processes, and operational improvements-giving you the chance to be part of how we continue to shape the patient and clinic experience.
Key Responsibilities
  • Welcome and check in patients while creating a professional, compassionate experience.
  • Verify demographic, insurance, and appointment information.
  • Manage incoming calls, patient questions, and appointment scheduling.
  • Maintain accurate and confidential patient records within the electronic medical record.
  • Process billing information, copays, and patient payments.
  • Partner with clinical and administrative teams to support efficient clinic operations.
  • Help resolve patient concerns and connect patients with the appropriate team member.
  • Maintain an organized and welcoming reception environment.
  • Float between Washington clinic locations based on staffing and operational needs.
  • Support additional projects and administrative responsibilities as assigned.

What We're Looking For
  • High school diploma or equivalent required.
  • 1-2 years of experience in customer service, hospitality, healthcare, a medical office, or another patient- or customer-facing environment preferred.
  • Strong communication, organization, and problem-solving skills.
  • A compassionate, patient-focused approach.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and ability to work collaboratively across teams.
  • Professionalism and empathy when supporting patients through sensitive situations.
  • Proficiency with electronic medical records, scheduling systems, and basic computer applications preferred.
  • Curiosity and enthusiasm for learning about fertility and reproductive healthcare.

Flexibility & Travel
This is a float position requiring flexibility to travel between our Seattle, Bellevue, Everett, and Kirkland clinic locations based on staffing and operational needs. Participation in a rotating weekend and holiday schedule is required.
Compensation & Benefits
  • Hourly Rate: $23.00 - $32.00 per hour (final offers based on experience, skills, and qualifications).
