Position Summary 
The Ops Coordinator executes daily BAU tasks that maintain operational stability and support the Frontline and CMC teams. They ensure accuracy, documentation adherence, and timely completion of assigned workflows. 
Key Responsibilities 
BAU Task Execution 
  • Perform assigned workflows including scheduling, queue monitoring, data validation, and document preparation. 
  • Follow SOPs consistently and escalate deviations promptly. 
  • Prepare and distribute individual and shared communications. 
  • Maintain SharePoint content, folders, and structure. 
  • Process commissioner appointment packages across Canada. 
  • Create and distribute monthly newsletters. 
Communication & Coordination 
  • Support frontline teams with operational updates and confirmations. 
  • Coordinate internal communication related to assigned tasks. 
Documentation & Recordkeeping 
  • Maintain trackers, logs, and workflow documentation. 
  • Suggest updates to SOPs or processes when gaps are identified. 
  • Support onboarding/offboarding workflows for government accounts, schedules, lists, internal sites and applications. 
  • Assist with S-Drive custom forms, updates, and organization. 
  • Ensure full coverage when team members are away, including preparing structured handover notes. 
  • Raise process improvements proactively. 
Ownership Expectations 
  • Demonstrate autonomy within assigned areas. 
  • Maintain current knowledge of workflows, tools, and processes. 
  • Identify and escalate risks or improvement opportunities. 
  • Own accuracy, timeliness, and end-to-end quality of deliverables. 

Qualifications
  • 1–3 years in operations, administration, or support roles. 
  • High attention to detail and reliability. 
  • Ability to manage multiple tasks. 
  • Strong communication and organizational capability. 
  • Proficient with Microsoft 365 Applications.
Nice to Have / Growth Areas 
  • Interest in analytical or improvement paths. 
  • Familiarity with workflow tools or CRM platforms.
  • Experience in SharePoint online site administration.
