Job Overview

We are looking for an energetic and friendly Pediatric Dental Front Desk Receptionist / Patient Care Coordinator who loves working with children and parents alike. As the first point of contact, you will play a vital role in shaping a family's experience and providing essential administrative support in our dental office setting. The ideal candidate balances excellent clinical administrative skills with a bubbly, patient, and empathetic personality.


Position Type: Part-Time (with a clear, seamless path to transition to Full-Time based on performance and practice growth).


Key Responsibilities

  • The Ultimate Welcome: Greet and check-in patients and parents upon arrival, ensuring a warm, positive, and welcoming experience while keeping the reception area clean and child-friendly.
  • Treatment Coordination: Review treatment plans with parents—clearly explaining pediatric procedures, costs, and insurance coverage.
  • Scheduling & Communication: Answer phone calls with a "smile in your voice," coordinate appointments for treatments, consultations, and follow-ups, and efficiently manage the office calendar to minimize wait times.
  • Insurance & Billing: Verify dental insurance benefits, obtain necessary pre-authorizations, and collect and process payments from families.
  • Records Management: Maintain accurate, digital patient records, update information as needed, and collaborate closely with the clinical team to ensure a smooth daily workflow.
  • Patient Advocacy: Provide exceptional customer service, promptly addressing parent inquiries and concerns with empathy and professionalism.


Requirements & Qualifications


Required:

  • Excellent communication skills (both verbal and written), with a natural ability to connect with both children and adults.
  • Exceptional organizational skills with a proven ability to multitask effectively in a busy, high-energy environment.
  • Detail-oriented with a high level of accuracy in data entry and patient file management.
  • Ability to maintain strict patient confidentiality and adhere to all HIPAA regulations.
  • High school diploma or equivalent.
  • Commute: Ability to reliably commute to Union City, CA 94587,


Preferred (Nice-to-Have):

  • 1+ years of previous experience in a dental or medical office setting (pediatric dental experience is a major plus!).
  • Strong foundational knowledge of dental terminology and billing procedures.
  • Proficient with dental software applications; familiarity with Dentrix Ascend is a major plus.
  • Bilingual skills (a wonderful asset for serving our diverse Union City community).
