Position Overview

We are seeking a highly organized, proactive Part-Time Office Manager / Executive Assistant to support leadership and help oversee day-to-day business operations from our office.

This role is ideal for someone who enjoys solving problems, creating structure, supporting people, and helping a growing company run smoothly. The right candidate will serve as an operational hub for the company—supporting executives, helping manage office operations, coordinating internal processes, and strengthening team culture.

Key Responsibilities

  • Manage executive calendars, scheduling, and recurring company meetings
  • Prepare agendas, reminders, follow-up items, and administrative support for leadership
  • Support day-to-day office and business operations, including HR administration, accounting coordination, vendor communication, and operational follow-up
  • Track invoices, subscriptions, vendor obligations, and help ensure important tasks are completed
  • Professionally communicate with vendors, partners, clients, and outside contacts on behalf of the company
  • Support company culture through team celebrations, employee events, onboarding coordination, and occasional retreats
  • Identify operational gaps or overlooked tasks and proactively help solve them
  • Use Slack and standard business tools to support communication and coordination
  • Handle sensitive information with professionalism and confidentiality
  • Maintain basic awareness of HIPAA and healthcare privacy expectations as they relate to healthcare technology

Qualifications

  • Experience in office management, executive assistance, business administration, operations coordination, or a similar role
  • Basic understanding of business functions including HR, accounting, operations, and executive support
  • Strong written and verbal communication skills with excellent customer service instincts
  • Highly organized with strong follow-through and attention to detail
  • Familiarity with an AI tool(s) and writing prompts for daily tasks
  • Resourceful, dependable, and comfortable managing multiple priorities
  • Comfortable asking questions, learning new systems, and stepping in where needed
  • Familiarity with Slack and common business software tools
  • Experience in healthcare, healthcare technology, SaaS, education technology, or entrepreneurial environments is a plus
