Job description

Position Summary

The Purchasing Assistant provides administrative and operational support to the Purchasing team by assisting with purchase orders, vendor communications, inventory tracking, and documentation. This position plays an important role in helping ensure materials and supplies are ordered accurately, delivered on time, and properly documented to support ongoing construction projects. This job is about 16 hours per week

Essential Responsibilities
  • Assist with creating and processing purchase orders.
  • Communicate with vendors regarding pricing, product availability, order status, and delivery schedules.
  • Maintain accurate purchasing records, files, and documentation.
  • Verify order confirmations, invoices, and packing slips for accuracy.
  • Track open purchase orders and follow up on delayed shipments.
  • Enter and update purchasing information in company software.
  • Assist with obtaining quotes and comparing vendor pricing.
  • Coordinate with project managers, field personnel, and warehouse staff regarding material needs.
  • Help maintain vendor databases and contact information.
  • Support inventory tracking and assist with stock replenishment when needed.
  • Perform general administrative duties including filing, scanning, data entry, and answering phones.
  • Complete other duties as assigned.
