What is a part time project manager?

Part time project managers are professionals who oversee projects while working fewer hours than a full-time role, often less than 40 hours per week. They are responsible for planning, executing, and closing projects, managing teams, budgets, and timelines, but on a reduced schedule. This role is ideal for organizations with limited project needs or for professionals seeking flexible work arrangements. Part time project managers use the same skills and tools as full-time project managers but may focus on smaller projects or work with multiple clients.

What does a part time project manager do?

A part-time project manager oversees all aspects of a business, development, IT, or operational improvement project for a client or employer. In this position, your responsibilities include planning the budget, creating a schedule for the project, and setting benchmarks to monitor progress. You also document progress and coordinate with vendors to ensure that the project team has the necessary services and supplies to complete their tasks on time. You contact clients to report the status of the project. Part-time managers work in an office for either part of a day or a limited number of days per week.

What are the key skills and qualifications needed to thrive as a part time project manager, and why are they important?

To thrive as a Part Time Project Manager, you need strong organizational, leadership, and time management skills, often supported by a degree in business or a related field and relevant project management experience. Familiarity with project management software such as Asana, Trello, or Microsoft Project, and certifications like PMP or CAPM, are typically required. Excellent communication, adaptability, and problem-solving skills make someone stand out in this role. These skills are crucial for efficiently leading projects, coordinating part-time teams, and ensuring timely project completion despite limited hours.

How do part time project managers effectively balance multiple projects and communicate with full time team members?

Part-time project managers often face the challenge of managing multiple projects with limited hours, making communication and organization crucial. To ensure project success, they typically set clear expectations with stakeholders about their availability and use project management tools to streamline updates and collaboration. Regular check-ins, concise status reports, and leveraging asynchronous communication platforms help bridge any gaps between part-time and full-time team members. This proactive approach ensures that everyone remains aligned and projects stay on track.

About Our Family

We are an active, close-knit family of five living on Mercer Island, with a one-year-old golden doodle rounding out our crew. We're looking for a house manager who can help keep our home running smoothly.

We already have some fantastic support systems in place, including weekly cleaners and a meal delivery service, and we are looking for a trusted partner to build on that foundation. You'd primarily be acting as a "stage manager" helping to reset the house each day so the kids are set up for success when they come home.

Who You Are / What We're Looking For

We are searching for a natural partner and professional who can step into our home, read the room, and seamlessly begin leveling up our day-to-day flow without needing a script. The ideal candidate brings an organized, systems-minded approach to life and takes genuine pride in creating smooth, sustainable order behind the scenes. They understand how to cultivate an even-keeled home environment, bringing a sense of calm predictability that allows everyone to thrive.

For this role, success looks like managing the moving parts of household logistics with confidence and proactivity-whether that means tracking inventory, resetting our core entry zones, coordinating vendors, or keeping family schedules beautifully aligned. We value someone who communicates clearly, makes smart decisions within reasonable parameters, and remains unflappable when unexpected adjustments pop up.

Beyond our primary home, we also own a secondary property about 40 minutes away. For a candidate who has the desire and capacity to take on additional property management hours, there is an opportunity to expand this role and help us oversee that estate as well.

Key Qualities:

  • Highly self-motivated with a strong sense of ownership and accountability
  • Exceptional organizational skills and attention to detail
  • Proactive and resourceful; anticipates needs and solves problems independently
  • Systems Minded & Organized: A professional who takes genuine pride in creating order and flow, bringing structured logistics to everything from schedule alignment and inventory tracking to resetting core family entry zones
  • Excellent communicator who is professional, direct, and responsive
  • Exceptional follow through and commitment to execution
  • Calm, steady, and a resourceful problem solver
  • Values professionalism, healthy boundaries, and supporting a private family
  • Enjoys spending time with dogs
Key Responsibilities: Household Management & Organization
  • Create and maintain household organization systems
  • Daily resets and prep home for cleaners
  • Daily tidying (dishes, surfaces, vacuum high-traffic areas)
  • Seasonal swaps (clothing, holiday decor, bedding)
  • Prepare and coordinate donation drop-offs
  • Event/holiday/guest prep
Deep Cleaning & Special Projects
  • Manage home deep cleans: fridge, pantry, oven
  • Refresh garage and entry
  • Organizational projects (toys, sports gear and craft materials)
Inventory & Errands
  • Restock pantry/fridge/household supplies
  • Manage running household supply lists
  • Manage household orders and subscriptions (Amazon/Costco/Target)
  • Returns, dry cleaning, gift shopping
  • Mail and package handling
  • Breakdown boxes and take to recycling
Meal Planning & Prep
  • Friday meal prep for the weekend: 1 lunch, 1 dinner, and healthy snacks. Opportunity to combine established family recipes with their own culinary intuition to ensure the kids have healthy, nourishing choices ready to go
  • Kitchen clean-up
Laundry & Linen Care
  • Wash, fold, and organize laundry
  • Keep laundry areas tidy and well-stocked with supplies
Pet Care
  • Daily walking
  • Schedule and take dog to vet and groomers
Vehicle Management
  • Schedule and take vehicle to get routine maintenance & detailing
Vendor & Property Oversight
  • Oversee cleaners/contractors/landscapers
  • Research/coordinate repairs and quotes
  • Seasonal property maintenance - e.g. putting away Christmas decor
