What is part time project management?

Part time project management involves overseeing and coordinating projects while working fewer hours than a standard full-time schedule. Part time project managers are responsible for planning, executing, and monitoring projects, but typically manage a smaller workload or number of projects. This role is ideal for organizations with limited project needs or professionals seeking work-life balance. Part time project managers use the same tools and methodologies as their full-time counterparts, ensuring projects are completed on time and within budget. Flexibility and strong communication skills are key to success in this position.

How do part-time project managers balance multiple projects and communicate effectively with full-time team members?

Part-time project managers often juggle several projects simultaneously, requiring strong organizational skills and proactive communication. They typically rely on clear scheduling, regular status updates, and digital collaboration tools to stay aligned with full-time team members and stakeholders. Establishing set check-in times and leveraging project management software helps ensure everyone stays informed and progress remains on track. Open communication and setting expectations early are key strategies for success in a part-time project management role.

What are the key skills and qualifications needed to thrive as a part time project manager, and why are they important?

To thrive as a Part Time Project Manager, you need strong organizational, leadership, and time management skills, often supported by a background in business or project management and experience leading teams. Familiarity with project management software like Asana, Trello, or Microsoft Project, and certifications such as PMP or CAPM, are commonly valued. Excellent communication, adaptability, and problem-solving abilities help you effectively coordinate tasks and stakeholders within limited hours. These skills ensure that projects stay on track and objectives are met efficiently, even within a part-time schedule.

Part-Time Project Accounting Assistant

JGA Roofing Systems, LLC – San Marcos, TX
Part-Time | 20–30 Hours Per Week (Flexible)
Pay: $16.97 - $22.21 per hour, depending on experience

Position Summary

JGA Roofing Systems is seeking a dependable and detail-oriented Part-Time Project Accounting Assistant to provide day-to-day support for our accounting and project cost records.

The primary focus of this position is keeping expenses, receipts, invoices, vendor bills, and project-related transactions accurately entered and organized in QuickBooks Online.

This is a support position working under the direction of company management. We are looking for someone who is comfortable working with financial records, pays close attention to detail, and understands that transactions must be assigned to the correct project, customer, vendor, and expense category.

Primary Responsibilities

  • Enter and categorize company expenses in QuickBooks Online
  • Assign transactions to the correct customer/project and expense category
  • Attach receipts, invoices, and other supporting documentation to QuickBooks transactions
  • Enter vendor bills and verify that supporting invoices are included
  • Match company credit-card transactions with corresponding receipts and documentation
  • Review transactions for missing receipts, invoices, or other backup
  • Assist with reconciling QuickBooks transactions to supporting documentation
  • Maintain organized electronic project cost files
  • Help ensure project expenses are accurately documented and assigned to the appropriate job
  • Identify duplicate, unusual, incorrectly categorized, or questionable transactions
  • Flag discrepancies or questionable transactions for management review rather than making assumptions or unsupported adjustments
  • Follow up internally for missing receipts, invoices, or transaction information
  • Assist with accounting record cleanup and organization as needed

Qualifications

  • Previous QuickBooks, bookkeeping, accounting support, or financial data-entry experience preferred
  • QuickBooks Online experience strongly preferred
  • Excellent attention to detail and accuracy
  • Comfortable working with receipts, invoices, vendor bills, and credit-card transactions
  • Ability to organize and maintain electronic financial records
  • Basic understanding of expense categorization
  • Strong computer skills
  • Ability to handle confidential company and financial information
  • Dependable and able to work independently
  • Willingness to ask questions when information is unclear rather than guessing

Preferred Experience

Experience with any of the following is a plus:

  • Microsoft One Drive Filing
  • QuickBooks Online
  • Construction or project-based businesses
  • Job/customer expense coding
  • Vendor bill entry
  • Receipt and invoice management
  • Project cost documentation

Construction accounting experience is helpful but not required.

Schedule & Compensation

  • Part-Time: approximately 20–30 hours per week
  • $16.97 - $22.21 per hour, depending on experience
  • Consistent weekly schedule to be established based on company needs and candidate availability

What We're Looking For

The ideal candidate can follow established processes, keep records and supporting documentation organized, and recognize when something does not look right.

Accuracy, consistency, and good judgment are more important than speed. We want someone who will ask questions when needed and help keep our project accounting records clean and reliable.
