Administrative Assistant (Part-Time) Schedule: Up to 29 hours per week (hours may vary)

Are you organized, tech-savvy, and able to juggle multiple priorities while keeping operations running smoothly and professionally?

The City Utilities Engineering team is hiring a part-time Administrative Assistant to support Development Services and utility operations for the City of Fort Wayne. This role is the backbone of daily operations-keeping projects, people, and processes moving efficiently.

What You'll Do Provide front-line administrative and operational support across Development Services, including customer service, project coordination, document management, and internal team support.

Key Responsibilities
• Serve as front office contact, greet visitors, answer phones, and route inquiries
• Process and track project submittals, inspections, permits, and documentation in systems like Accela and PMIS
• Support project teams by preparing contracts, manuals, reports, and meeting materials
• Manage invoices, payments, budget tracking, and vendor coordination
• Maintain records, process mail, manage files (digital and physical), and support office operations

What You Bring – Education & Experience • Associate's degree in Business, Office Administration, or related field preferred • Two (2) years of administrative experience or equivalent combination of education and experience • Experience with Microsoft Office (Word, Excel, Outlook) and general office systems

Preferred Certifications
• Ability to obtain Notary Public certification within one year

Technical Skills & Knowledge
• Experience with databases and systems such as Accela, PMIS, GIS, or similar platforms
• Strong skills in document management, data entry, and tracking systems
