POSITION SUMMARY:
The Administrative & Finance Assistant provides administrative, financial, and operational support to help ensure the organization’s daily operations run efficiently.
This role supports student enrollment, tuition collection, accounts receivable/payable, bookkeeping assistance, payroll support, parent communication, customer service, and general office administration.
Reporting to the Office Manager, this position works closely with parents, teachers, students, and internal staff. The ideal candidate is organized, detail-oriented, professional, and comfortable managing multiple responsibilities within a fast-paced nonprofit environment while exercising strong independent judgment and initiative.

KEY RESPONSIBILITIES:
Administrative & Operations Support
• Support daily office operations and administrative functions
• Assist with student enrollment, registration, and maintaining accurate student records
• Communicate with parents regarding enrollment and tuition-related questions
• Answer incoming calls and provide professional customer service
• Maintain organized electronic and physical records
• Support leadership and assist with additional operational needs as assigned.
Finance & Bookkeeping Support
• Process tuition payments and maintain accurate payment records
• Collect, count, reconcile, and securely document cash payments and deposits
• Support Accounts Receivable (AR) and Accounts Payable (AP) functions 
• Process invoices, receipts, and payment documentation
• Enter financial transactions into QuickBooks Online while maintaining confidentiality of financial records
• Reconcile student enrollment records, tuition payments, and monthly account balances
• Assist with monthly reconciliation of financial records and account discrepancies
• Compile financial data and assist with preparing monthly income and expense reports for leadership
• Ensure tuition accounts remain current and follow up on outstanding payment balances when needed.
Payroll & Administrative Finance Support
• Assist with employee timesheet review and payroll-related administrative support
• Support payroll processing and maintain payroll-related documentation through online payroll systems
• Maintain confidentiality of employee payroll and financial information.
Collaboration & Customer Service
• Serve as a primary contact for parents regarding enrollment and tuition questions
• Work collaboratively with teachers, families, students, and staff
• Maintain professional communication and strong customer service standards
• Support a positive, flexible, and team-oriented work environment
• Perform additional duties as assigned based on organizational needs.
REQUIRED QUALIFICATIONS:
• 2 - 5 years of experience in administrative support, bookkeeping, office administration, accounting support, or finance administration
• Bilingual English/Spanish required
• Experience handling cash payments, receipting, payment processing, and customer financial transactions.
 • Working knowledge of Accounts Receivable (AR) and Accounts Payable (AP)
• Basic understanding of accounting principles, bookkeeping procedures, and financial recordkeeping
• Experience with bookkeeping functions preferred
• Experience processing employee timesheets, payroll support, or online payroll systems preferred
• Experience using QuickBooks Online strongly preferred
• Strong customer service, communication, and organizational skills
• Ability to manage confidential information with professionalism
• Strong proficiency with Microsoft Office Suite (Excel, Outlook, Word)
• Strong attention to detail, problem-solving ability, and financial accuracy
• Ability to prioritize multiple responsibilities, meet deadlines, and work with minimal supervision in a fast-paced environment
• Ability to work independently while collaborating within a team environment

WORK SCHEDULE:
• Part-Time Position – Approximately 20 hours per week
• Required in-person availability for 3 Saturdays per month (8:30 AM – 12:30 PM) for program and operational support
• Additional weekday hours scheduled based on operational needs.
PHYSICAL REQUIREMENTS:

• Sitting for extended periods while performing computer and administrative work 
• Standing, walking, bending, reaching, and filing throughout the workday 
• Frequent use of computers, phones, printers, and office equipment • Lifting or carrying office materials and supplies up to 25 pounds 
• Frequent communication with parents, staff, and community members 
• Working in a standard office environment with regular interruptions and multitasking responsibilities
