Description:
St Mary Magdalene Parish in Dever is seeking a part-time Office Assistant to assist the Pastor/Vicar and the Operations Manager in the administration of the Parish. Our office is open from 9am-2pm Monday, Tuesday and Thursday and Wednesday from 9am-4pm. The Office Assistant works approximately 20-29 hours per week within these times.
Job Responsibilities: - General Office Responsibilities
- Help maintain the calendar, schedule, and facility use of the Parish.
- Be familiar with the Archdiocesan Pastoral Handbook and the Parish Handbook to accurately communicate this information with others.

- Office Support
- Sacramental Administration
- Assist in the maintenance of the Parish's Sacramental Records by keeping them up to date within the celebration month.
- Assist in the organizing and recording of documentation for sacramental, liturgical, and catechetical needs.
- Parish Life
- Assist in keeping the Parish Calendar and bulletin boards current and relevant.
- Assist, when asked, in the preparation and translation of the weekly bulletin
- Business Support
- Timely entry of weekly collection/deposit information
- Timely entry of membership data information, including new records, contribution records, etc.
- Timely preparation of check requests based on liabilities recorded on collection/deposit sheet (e.g. Special Collections, etc.)
- Weekly Contribution Report generation for Operations Manager
- Reconciliation assistance between deposit information, contribution records and accounting system
- Other items as assigned/requested by Operations Manager to support the accurate accounting of financial information
Other administrative support
- Ability to Open and close the office in compliance with the regular office hours.
- General knowledge of filing system, supply locations, and regular tasks and rhythms of parish life.
- Serve as an administrative contact, when needed, for parishioners by answering phone, door and receiving guests to the Parish Offices during regular office hours.
- Translate relevant communications and liturgical and ecclesial texts as needed.
Requirements:
- A working knowledge of both the English and Spanish language.
- A working knowledge of Windows (especially file organization), and Microsoft Office 365
- Must be a practicing Catholic in good standing with the church and eager to carry out the mission of the church.
- Must keep high personal standards and moral conduct that demonstrates and communicates the Catholic faith in a variety of situations.
- Strong communication and people skills are required to meet strangers at the door and quickly assess their needs.
- Ability to maintain confidentiality and exercise sound judgment
- Ability to work collaboratively with clergy, staff, volunteers, and parishioners
Physical Requirements:- Ability to sit for extended periods
