Reports to: Director of Data Analysis
Start Date: Open until filled

Work Schedule: TBD

Organizational Overview

Homeward Bound is Marin Countyโ€™s primary provider of housing and shelter for single individuals and families experiencing homelessness, offering short- and long-term supportive housing, job training and placement, and services. Our mission is โ€œOpening Doors to Safety, Dignity, Home and Independence.โ€ We are looking for the right person to join our team.

Imagine being part of a company where effort creates hope and opportunity. For 50 plus years, Homeward Bound of Marin has helped individuals and families experiencing homelessness find their path to housing and stability with the goal of ending homelessness in Marin County.

The Ideal Candidate

Position Summary

The Salesforce and Data Systems Administrator plays a critical role in supporting Homeward Boundโ€™s mission to serve individuals and families experiencing homelessness and those in supportive housing. This part-time role serves as the primary internal administrator for Homeward Boundโ€™s Exponent Salesforce system, which integrates with the agencyโ€™s Homeless Management Information System, or HMIS.

Staff enter HUD required data into HMIS, which migrates nightly to Salesforce, while additional case management and program data are entered directly into Salesforce. The Administrator is responsible for routine system administration, user support, data integrity, reports and dashboards, and configuration updates, including fields, objects, permissions, and workflows. The role also monitors the nightly HMIS to Salesforce data sync and works with the Director of Data Analysis and external partners, as needed, to troubleshoot issues and support system improvements.

Key Responsibilities

Salesforce Administration & System Management

  • Administer and maintain the Salesforce platform, including user management, data integrity, security, and system performance.
  • Configure and customize Salesforce (objects, fields, flows, validation rules, reports, dashboards) to meet evolving program and organizational needs.
  • Monitor and troubleshoot system issues, ensuring minimal disruption to staff workflows.
  • Manage data imports, exports, and integrations, including the nightly HMIS-to-Salesforce (Exponent) data sync.
  • Support with staff training in data system, usage, and reporting.

HMIS Integration & Data Oversight

  • Ensure the accuracy and integrity of data by migrating from HMIS into Salesforce.
  • Collaborate with HMIS administrators, Exponent administrators, and Director of Data Analysis to resolve data discrepancies.
  • Maintain understanding of HUD data requirements and ensure systems align with compliance standards.

Continuous Improvement

  • Evaluate and implement new Salesforce features, tools, and integrations as appropriate.
  • Stay current on Salesforce releases, nonprofit best practices, and HMIS requirements.
  • Identify opportunities to streamline processes and reduce administrative burden on program staff.

Qualifications

Required:

  • 2+ years of experience administering Salesforce (Salesforce Administrator Certification preferred or willingness to obtain).
  • Experience working with data systems that support human services, housing, or nonprofit programs.
  • Strong understanding of database management, data integrity, and reporting.
  • Experience translating business or program needs into technical solutions.
  • Excellent communication skills and ability to work collaboratively with non-technical staff.
  • Demonstrated commitment to equity and serving vulnerable populations.

Preferred:

  • Experience with HMIS or similar systems, particularly those aligned with HUD requirements.
  • Familiarity with nonprofit Salesforce implementations (e.g., Nonprofit Success Pack or similar).
  • Experience supporting case management workflows or social service programs.
  • Knowledge of data visualization tools and advanced reporting techniques.

Core Competencies

  • Problem-Solving: Approaches challenges with curiosity and practical solutions.
  • User-Centered Mindset: Designs systems that are intuitive and supportive of frontline work.
  • Attention to Detail: Ensures high standards of data quality and system reliability.
  • Mission Alignment: Demonstrates commitment to improving outcomes for unhoused individuals and those in supportive housing.

Impact of the Role

This role ensures that our data systems not only meet compliance requirements but actively support the life-changing work of our staff. By maintaining a reliable, user-friendly Salesforce environment integrated with HMIS, the Administrator enables better service delivery, clearer insights, and stronger outcomes for the communities we serve.
