Description:

Brody Gapp LLP—a nationally recognized, remote-first boutique litigation and compliance firm—is seeking an experienced Legal Secretary / Executive Assistant to support the Managing Partner and firm attorneys. This role is ideal for someone who is highly organized, initiative-taking, and comfortable operating in a fast-moving, client-facing environment.

This is a part-time Independent Contractor position with potential for full-time expansion. West Coast hours preferred, though strong candidates from all locations will be considered. Applicants must submit a resume and salary requirements to be considered.

Key Responsibilities

  • Manage attorney calendars, inboxes, scheduling, and occasional travel.
  • Review emails and prepare draft responses for attorney review.
  • Coordinate communication between the Managing Partner, attorneys, clients, and third parties.
  • Manage incoming calls, correspondence, and document flow.
  • Assist with time entry, e-filings, and maintaining organized case files.
  • Open and close matters, run conflict checks, and maintain file accuracy.
  • Prepare, proofread, and format documents with strong attention to detail.
  • Prioritize competing deadlines and support multiple attorneys simultaneously.
  • Scan, organize, and edit PDFs; maintain digital file hygiene.
  • Uphold confidentiality, professionalism, and a solutions-oriented mindset.

Required Qualifications

  • Prior experience as a legal secretary/legal assistant.
  • Strong writing, communication, and proofreading skills.
  • Solid understanding of litigation terminology and court procedures.
  • High proficiency with Outlook, MS Word; familiarity with Excel and PowerPoint.
  • Ability to manage email and calendar priorities across multiple attorneys.
  • Exceptional organization, judgment, and follow-through.
  • Typing speed of 60–80 WPM.
  • Demonstrated reliability, discretion, and resourcefulness.
