UW Medicine IT Services has an outstanding opportunity for a Student Assistant - IT Services Governance & Strategic Planning.
WORK SCHEDULE
  • HYBRID opportunity, requiring a minimum of 1 in-office days a week, typically on Wednesdays
  • Our office is in the University District
  • 16 - 19.5 hours per week when school is in session
  • During school breaks, there may be availability to work up to 40 hours per week
  • Student Assistants are expected to work during IT Services (ITS) business hours, which is between 8AM and 4:30PM, Monday - Friday. The exact schedule will be determined based on current course load/schedule with adjustments made as quarterly classes change

DEPARTMENT DESCRIPTION
UW Medicine IT Services (ITS) is a shared services organization that supports all of UW Medicine. UW Medicine is comprised of Harborview Medical Center (HMC), UW Medical Center-Montlake Campus (UWMC-Montlake), UW Medical Center-Northwest Campus (UWMC-NW), UW Medicine Primary Care (UWMPC), UW Physicians (UWP), UW School of Medicine (SOM), and Airlift Northwest (ALNW). ITS is responsible for the ongoing support and maintenance of the infrastructure and applications which support all these institutions, along with the implementation of new services and applications that are used to support and further the UW Medicine mission.
Student Assistant - IT Services Governance & Strategic Planning
UW Medicine IT Services has an outstanding opportunity for a part-time, day shift Student Assistant to provide administrative assistance for IT Services Governance & Strategic Planning initiatives within the team. The ideal candidate is a highly motivated individual with excellent communication and organizational skills, as well as a strong interest in learning administrative operations and programs that enhance service experience, operational excellence, governance transformation, and operational efficiency, compliance, quality, and goal execution.
This position will assist with general administrative duties to support the Director, ITS Governance & Strategic Planning.
  • Collaborates and assists cross-functional teams focusing on Governance and Strategic Planning
  • Ensures we are working on the right projects at the right time
  • Supports the technology Governance program spanning across all business units
  • Supports the resourcing, project scheduling, and approaches throughout the full project life cycle
  • Works closely with user representatives, other ITS teams, operations staff, and other project team members from project ideation through scheduling
  • Analyzes business processes and data
  • Supports ITS Owners and Business Owners in business case development including KPIs and risk categorization and mitigation
  • Supports the operational departments ensuring that their ideas and needs are captured
  • Analyzes the overall portfolio for investment trends, benchmarks, capacity, and risk, presenting this information to executives and highlighting strategic opportunities
  • Communicates broadly and proactively, leading ITS Governance activities and improvements
  • Attends and participates in relevant meetings with ITS Senior Leaders, gaining insights into high-level decision-making in healthcare IT. May also be required to prepare slide decks and present information, depending on task, assignment, or project
  • Assist in policy development and compliance, ensuring alignment with regulatory standards and best practices.
  • Captures, improves, and documents workflows, ensuring efficiency and regulatory compliance
  • Establishes reliable procedures, reporting tools, and dashboards intended to evaluate actual results against expected costs and benefits, project status, and congruence with strategic goals and objectives
  • Proactively identifies, escalates, and resolves issues that may impact the successful execution of the initiatives and attainment of organizational goals
  • Performs other related duties and participates in special projects as assigned
  • Partners with leadership, special committees, and team members to support execution of key initiatives
  • Assists and collaborates with project management, tracking milestones, timelines, and deliverables for key organizational initiatives
  • Participates in organizational change management efforts related to new, governance programs, strategic plans, IT systems, applications, processes, or updates
  • Researches and presents best practices in healthcare IT, exploring innovative solutions to improve care delivery and efficiency

REQUIREMENTS
  • Must be a current student at the University of Washington
  • Mid-level skills in Microsoft Word, Outlook, and Excel, with a strong interest in learning and using technology that supports the ITS Services' goal of sharing information transparently and in user-friendly methods

  • Familiarity with EHR systems, SQL, or data visualization tools (Tableau, Power BI)

  • Concise and effective writing skills and attention to detail
  • Solid organizational skills
  • Ability to communicate with all levels of individuals, including management/leadership
  • Demonstrated experience conducting effective research, cite resources, and build and modify reports, typically using mid to advanced levels of Excel
  • Proficiency in full Microsoft Suite, including SharePoint Online
  • Experience using graphic creation tools such as Canva
