Independent Contractor – CPT-10786 Lead Follow-Up & Appointment Setting Virtual Assistant/Business Support/Any Tier Level (Remote)

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

Client is a growing real estate team based in East Texas with a database of over 5,000 contacts. The team is seeking a Business Support Virtual Assistant to ensure consistent and timely follow-up on incoming and existing leads. The primary objective of this role is to capture missed opportunities ("low-hanging fruit"), respond quickly to new leads—and convert conversations into scheduled appointments for agents. This role will operate inside Follow Up Boss CRM, working shared lead pools and leveraging tools such as Maverick AI to identify and act on missed follow-up opportunities. The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Contractors will be required to provide services that align with the following client tasks:

Lead Follow-Up & Speed-to-Lead (Primary Focus)

  • Respond immediately to new leads entering the CRM
  • Conduct consistent follow-up via calls, text, and email.
  • Re-engage leads that were previously not contacted or went cold.
  • Ensure no lead goes untouched or unworked.

Shared Lead Pool Management

  • Work the shared "pond" of unassigned leads within Follow Up Boss.
  • Identify opportunities within the database and prioritize follow-up.
  • Maintain ownership of the lead activity until handoff to an agent.

Appointment Setting

  • Qualify leads through conversational outreach (not overly sales-driven).
  • Schedule phone consultations with agents.
  • Confirm and track appointments through completion.

CRM & Workflow Management

  • Maintain accurate records in Follow Up Boss (notes, statuses, follow-ups).
  • Respond to Maverick AI (training provided) nudges to identify and execute on missed opportunities.
  • Help establish simple rules and workflows for consistent lead engagement.

Outbound Prospecting (Secondary)

  • During slower periods, work through additional leads from MyPlusLeads (3rd party lead supplier), including:
  • FSBO (For Sale By Owner)
  • Expired listings
  • Recently off-market properties
  • Use the provided lists (e.g., MyPlusLeads) to generate additional opportunities.

Future Role Expansion

As the team grows, this VA will also:

  • Learn internal workflows related to front desk operations and cold calling (circle prospecting)
  • Help document processes and best practices
  • Assist in training and onboarding future VAs in similar roles
  • Support the development of a scalable lead follow-up system

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client's requirements:

  • Experience in lead follow-up, appointment setting, or customer support
  • Familiarity with CRM systems (Follow Up Boss preferred)
  • Comfortable handling inbound and outbound communication (calls, text, email)
  • Strong written and verbal English communication skills
  • Ability to manage multiple leads and follow-ups simultaneously

Work Schedule

  • Daily Working Time: 8 AM - 6 PM CST (flexible; to be finalized)

Note: The Company will make reasonable efforts to align the Assigned VA's schedule with the Client's preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
