Description
The part-time Athletics Hospitality Coordinator supports the planning and execution of donor hospitality, special events, and game-day experiences for the Athletics department. This position assists with coordinating hospitality services, managing vendor relationships, and ensuring outstanding service for Bulldog Club members, sponsors, alumni, and special guests. The coordinator will work collaboratively with athletics development, corporate partnerships, marketing, and event operations staff to provide a first-class donor and fan experience.
Job Duties
  • Coordinate hospitality areas for athletic events, donor functions, and special gatherings.
  • Serve as a point of contact for hospitality vendors, caterers, hotels, and restaurants.
  • Assist in managing donor and VIP guest lists, registrations, and event communications.
  • Support donor stewardship efforts through personalized customer service and event engagement.
  • Ensure hospitality areas are properly set up, stocked, and maintained before, during, and after events.
  • Assist with planning and execution of fundraising and special events, including golf tournaments, alumni events, and donor receptions.
  • Coordinate event logistics, including check-in procedures, signage, seating arrangements, and vendor coordination.
  • Recruit, train, and supervise student workers and volunteers assigned to hospitality responsibilities.
  • Support event setup and breakdown activities.
  • Maintain hospitality inventories and event supplies.
  • Assist with collecting event data, attendance records, and post-event evaluations.
  • Process vendor invoices and assist with budget tracking as assigned.
  • Maintain accurate records of hospitality-related expenses and contracts.
  • Represent the athletics department in a professional manner consistent with university values.
  • Assist with game-day operations and donor engagement activities.
  • Perform other duties as assigned by athletics administration.

Qualifications
  • High school diploma.
  • Strong organizational and communication skills.
  • Ability to work effectively with donors, sponsors, alumni, vendors, and university personnel.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Strong attention to detail and customer-service orientation.
  • Ability to lift and carry up to 25 pounds.
  • Ability to stand and walk for extended periods during events.
  • Ability to work evenings, weekends, and occasional holidays as required.
  • Current, valid driver's license.

Preferred Qualifications
  • Bachelor's degree.
  • Experience in hospitality, event management, customer service, athletics, fundraising, or a related field.
  • Experience working in collegiate athletics, higher education, or nonprofit fundraising.
  • Familiarity with CRM or donor management systems
  • Knowledge of NCAA regulations as they relate to job responsibilities.
