The Gift Processing and Data Associate is a member of the Institutional Advancement Team and works closely with the Senior Database and Stewardship Specialist to support gift processing, donor data management, and stewardship activities. This part-time role is responsible for entering and maintaining accurate donor and gift information, supporting donor acknowledgment processes, and assisting with prospect research and reporting needs as assigned.
This position supports internal stakeholders, including the Finance team, and requires strong attention to detail, confidentiality, accountability, and the ability to effectively manage deadlines and multiple priorities.
Essential Responsibilities
  • Support gift processing activities in Blackbaud Raiser's Edge, including entering donations across fundraising campaigns and ensuring gifts are accurately coded and documented
  • Coordinate donor acknowledgment distribution processes, including routing correspondence for signature, ensuring supporting materials (including Donor Society cards) are included as appropriate, and preparing, copying, scanning, and mailing donor communications
  • Maintain and update donor and constituent records to ensure accuracy, consistency, and integrity of database information
  • Partner with the Sr. Database and Stewardship Specialist to maintain donor database quality and support ongoing data management efforts
  • Support donor stewardship activities, including donor recognition lists, donor boards, and attribute coding
  • Assist with prospect research, reporting, and list generation as needed
  • Maintain confidentiality and security of donor records, gift information, and sensitive donor data
  • Remain current on Blackbaud Raiser's Edge NXT functionality and applicable database practices
  • Support data integrity efforts through routine review, cleanup, and validation of donor and constituent information
  • Partner with the Sr. Database and Stewardship Specialist to maintain donor database integrity and support ongoing data management initiatives
  • Perform additional data entry, administrative, and departmental support duties as assigned

Qualifications
  • Associate or bachelor's degree preferred or equivalent combination of education and relevant experience
  • 2 or more years' experience in donor databases, gift processing, data entry or related administrative support work
  • Experience using database systems and
  • Proficient in Microsoft Office applications, particularly Excel and Word

  • Commitment to and enthusiasm for The Henry Ford's mission, vision and values, and the ideals of philanthropy and the practice of ethical fundraising
  • Experience with donor databases; experience with Blackbaud Raiser's Edge NXT preferred
  • Exceptional attention to detail and accuracy with strong organizational and time management skills

  • Experience working in an office environment (preferably in fundraising or non-profits)
  • High level of proficiency in software applications, including Microsoft Office (Outlook, Word and Excel)
