St. Raymond Catholic Parish in Miami, Florida has an immediate opening for a bi-lingual (English and Spanish), Part-time Parish Receptionist . As first contact for callers and visitors to the parish, this position represents the face of the parish and treats those seeking assistance with Christian hospitality, while at the same time ensuring that their needs are directed to the appropriate party. As a member of the St. Raymond Catholic Parish administrative office, this employee assists in other duties of the Office as needed and performs all duties and responsibilities in alignment with the mission, vision, and values of the Catholic Archdiocese of Miami.
Schedule: 25 hours per week, Monday - Friday 1:00 to 6:00 P.M. Schedule may require flexibility at times depending on events and seasons.
Responsibilities:
  • Provide exemplary customer service to visitors, parishioners, CCD parents, vendors and others who contact the parish by phone, in person, and by e-mail; assess their needs and direct them to the appropriate parties. Foster a disposition of Christian hospitality and engagement with an open-door mannerism to facilitate the renewal of parish structures and methods.
  • Provide callers with answers to basic requests for information, events, schedules, and/or document their concerns for escalation to the appropriate party.
  • Grant access to visitors through locked entry door and ensure that they come to the front desk to state the intention of their visit. Exercise good judgment in granting access. Contact pastor or security as needed.
  • Schedule weddings, baptisms and funerals, ensuring communication between families and parish, as well as coordinating the workflow leading to the sacraments/liturgies. Manage the wedding files and booking of reception hall.
  • Assist with St. Martin de Porres Pantry food distribution by ensuring clients receive their packages.
  • Perform clerical duties such as data input, preparing mailings, accepting, and distributing mail, reviewing voicemail, and answering messages.
  • Record and process mass intentions with utmost accuracy.
  • Maintain contact information with resources outside of the Parish (i.e., Catholic Charities for people seeking immediate direct services.) that can be helpful to those in need.
  • Develop knowledge of the Archdiocese of Miami's offices and services.
  • Present a positive, professional image when representing St. Raymond Catholic Parish.
  • Respect the confidentiality of information acquired through the role within St. Raymond Catholic Parish.
  • Learn and remain up to date on ADOM handbook and ADOM HR policies and procedures to be able to answer questions from other employees in areas of time and attendance.
  • Work in a collaborative effort with the Pastor and pastoral agents in the new evangelization.
  • Learn and remain current on office productivity applications (MS Office Suite, etc.) and technology to enhance operational efficiency.
  • Other duties as assigned.
Qualifications:
  • High School diploma or GED and one-year administrative experience in a customer-service environment with phone system.
  • Friendly, with excellent customer service skills, including ability to maintain focus on and professionalism with people in challenging situations, both in person and by phone.
  • Must demonstrate a positive, welcoming, and service-oriented disposition.
  • Knowledgeable about and supportive of the mission and tenets of the Roman Catholic Church.
  • Good computer literacy skills, including MS Outlook and Word.
  • Strong oral and written English and Spanish language communication skills, including clear speaking voice.
  • Must be able to always maintain strict confidentiality.
  • Must have a professional demeanor, including the dress code.
  • Excellent customer service skills, including ability to maintain focus on and professionalism with people in challenging situations, both in person and by phone.
  • Skilled at building and maintaining good, collaborative relationships and working through conflicts.
  • Good time management, including ability to manage several projects at the same time.
  • Must be able to multi-task and retain accuracy in an environment of competing deadlines.
  • Must be supportive of the mission and tenets of the Roman Catholic Church.
