Job description

We are seeking an enthusiastic and highly organized Office Manager to join our small, dynamic team. As we have a close-knit office of less than 20 people, you will be the central point of contact for daily operations. This is a part-time, in-person position that requires a proactive professional who thrives on variety and is comfortable working independently to keep our workplace running smoothly.

Depending on the candidateโ€™s background and interests, growth paths available are Exec Admin, Project Manager, Chief of Staff, Business Development, Sales, or Product Management roles and can convert to full-time for the right candidate.

Key Responsibilities (training will be provided)

  • Office Coordination: Oversee daily administrative operations, including mail distribution, greeting visitors, and maintaining a clean, organized office environment.
  • Administrative Support: Manage schedules, coordinate meetings, help with travel arrangements, provide direct support to the leadership team.
  • Supply & Vendor Management: Monitor inventory, order office and kitchen supplies, and serve as the primary contact for facilities vendors (IT support, maintenance, janitorial services).
  • Basic Finance: Bookkeeping tasks such as processing invoices and tracking expenses.
  • HR: Assist with onboarding new hires and offboarding terminations. Working with Gusto to maintain compliance. Run bi-weekly payroll.
  • Culture & Events: Plan and coordinate small team events, lunches, and celebrations to foster a positive workplace culture.

Requirements

  • No prior work experience is required.
    • Strong technical proficiency with MS Office (Word, Excel) or Google Workspace.
    • Experience with bookkeeping software like QuickBooks is a plus.
  • Other Skills: Exceptional organizational ability, strong verbal and written communication, and the flexibility to adapt to changing priorities.
  • Education: An Associateโ€™s or Bachelorโ€™s degree in Business Administration, Marketing, Finance, Accounting, or any STEM field; or a high school degree with 2 years of experience in an office management or a comparable administrative role
  • Candidates must be legally authorized to work in the United States. Company is unable to sponsor work authorization for this role.

  • Type: Part-Time (approx. 20 hours per week), with the potential to convert to full time depending on candidateโ€™s skills, performance, and interest.
  • Location: 100% In-Person.
