Job Description:

Administrative Assistant

Huntsman is seeking an Administrative Assistant supporting the Corporate Functions (Investor Relations, Treasury, Financial Planning & Analysis (FP&A), and Tax) organizations located in The Woodlands, Texas. This position will report to the Vice Presidents and Directors within the supported organizations.

Job Scope

The Administrative Assistant provides comprehensive administrative and operational support to multiple Directors and Vice Presidents across Investor Relations, Treasury, FP&A, and Tax. This role is responsible for coordinating travel, managing calendars, organizing meetings and events, processing business documentation and expenses, maintaining records, and supporting departmental initiatives while handling sensitive and confidential information with a high level of professionalism.

In summary, as the Administrative Assistant, you will:

  • Receive, sort, and distribute mail to Directors and Vice Presidents.

  • Coordinate and manage domestic and international travel arrangements.

  • Process expense reports through the Concur system and manage travel reimbursements.

  • Organize and coordinate local and offsite meetings, conferences, receptions, and special events.

  • Provide backup support to other Executive Assistants as needed.

  • Order and maintain office supplies and business cards.

  • Manage calendars, schedule meetings, reserve conference rooms, and coordinate meeting logistics.

  • Process passport applications and work/travel visas.

  • Assist with PowerPoint presentations, Excel spreadsheets, Word documents, correspondence, and budget-related materials.

  • Support Investor Relations earnings call preparations, including organizing and staging presentation materials.

  • Create deposit records and process hard-copy check deposits for Treasury.

  • Provide administrative support to the Vice President of Tax and the Tax Department.

  • Coordinate FP&A team recognition events, annual budget meetings, and serve as the Hackett Connect administrator.

  • Manage record retention and document archiving processes.

  • Process invoices, purchase requisitions, purchase orders, and related documentation in compliance with corporate policies and procedures.

  • Perform additional administrative duties and special projects as assigned.

Qualifications

You must possess the below minimum qualifications to be initially considered for this position. Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates.

The candidate must have an unrestricted right to work for Huntsman in the United States.

Minimum Qualifications

Education required

  • Bachelor's degree from an accredited four-year college or university.

  • 7+ years of experience as an Administrative Assistant supporting multiple Directors, Vice Presidents, or other executive-level leaders.

  • Experience coordinating, planning, and managing local and offsite special events, executive presentations, and receptions.

Skills and Knowledge

  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and email management.

  • Strong computer and organizational skills.

  • Ability to prioritize multiple assignments and consistently meet deadlines.

  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.

  • Self-motivated with a proactive approach to completing assignments.

  • Strong problem-solving and independent decision-making abilities.

  • Ability to manage multiple projects and administrative responsibilities simultaneously.

  • Exceptional attention to detail and process orientation.

  • Strong interpersonal skills with the ability to work effectively in a culturally diverse environment.

  • Collaborative team player with excellent communication skills.

  • Strong customer service and stakeholder management capabilities.

Preferred Qualifications

Experience with:

  • Concur for expense management and travel administration

  • Processing purchase orders, invoices, and requisitions

  • Supporting corporate functions such as Investor Relations, Treasury, Finance, and Tax

  • Coordinating international travel, including passport and visa processing

  • Document retention and records management programs

Working Environment

  • Office-based position located at Huntsman's Corporate Headquarters in The Woodlands, Texas.

  • Part-time position working approximately 32 hours per week.

  • Frequent interaction with senior leaders, internal stakeholders, and external vendors.

  • May require occasional support for offsite meetings, events, and executive functions.

  • Ability to work in a fast-paced environment while managing competing priorities and maintaining a high degree of accuracy and confidentiality.
