We are seeking an Administrative Analyst to join our Medical Records & Billing team. This is a unique opportunity for an entrepreneurial, highly driven person with a well-rounded skill set to support the Medical Management, Legal Nurse Consulting, and Bill Review operations. The ideal person for this role will have a strong grasp of case documentation, workflow coordination, and report support, while remaining flexible, detail-oriented, and able to manage a variety of priorities in a deadline-driven environment.

Job Description
  • Coordinate case intake, document receipt, and administrative workflow to support timely and efficient case progression.
  • Client facing communication as indicated.
  • Enter and maintain accurate case, document, and project status information in appropriate systems, including file indexing and naming conventions.ย  Manage active projects across multiple teams/experts.
  • Work closely with other practice team members as needed.
  • Organize medical records, billing records, correspondence, and supporting materials for review by nursing, bill review, and management staff.
  • Monitor project deadlines, outstanding records, assignments, and other workflow requirements; follow up as needed to prevent delays.
  • Review reports from a layperson's perspective for formatting, consistency, readability, and smooth flow before final delivery.
  • Assist with meeting coordination, scheduling, contact management, email organization, and preparation of meeting materials.
  • Prepare meeting minutes and document action items when requested.
  • Assist with client invoice review, time and expense tracking, and supporting documentation. Invoice generation according to team protocol.
  • Provide accurate data entry and administrative support for Medical Management, Legal Nurse Consulting, Bill Review, and other practice lines as needed.
  • Manage and maintain team templates, standard operating procedures, job aids, and the shared resource library.
  • Support quality assurance, special projects, process improvements, and additional administrative tasks assigned by management.
Qualifications
  • Bachelor's degree or equivalent combination of education and relevant experience.
  • Two or more years of administrative, project support, medical records, insurance, legal, healthcare, or related office experience preferred.
  • Experience supporting medical record review, billing, claims, legal, or professional consulting workflows is preferred.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
  • Self-motivated, dependable, flexible, and customer-service oriented.
  • Strong attention to detail, accuracy, written communication, and professional judgment.

Proficient in Outlook and Microsoft Office Suite, including Word, Excel, Teams, and SharePoint
