About Us

Associated Property Management is seeking a highly organized and service-oriented Part-Time Assistant Property Manager (LCAM) to support our Property Management team in delivering exceptional service to homeowners, residents, and community associations. This role is ideal for someone who enjoys administrative coordination, customer service, and working in a fast-paced office environment while assisting multiple Property Managers. The ideal candidate is detail-oriented, proactive, and enjoys building relationships with residents, boards, and vendors while helping ensure the smooth day-to-day operations of assigned communities.

About the Role:

  • Location: Lake Worth, FL
  • Schedule: Part-Time

Responsibilities:

Resident & Board Relations

  • Respond to homeowner and resident inquiries via phone, email, and written correspondence.
  • Assist Property Managers with preparing board meeting packets, agendas, reports, and annual meeting materials.
  • Attend board meetings as needed and assist with meeting preparation and follow-up.
  • Support enforcement of community governing documents by preparing notices and maintaining documentation.
  • Coordinate move-in and move-out requests and maintain related records.

Administrative & Financial Support

  • Maintain accurate community files, homeowner records, architectural requests, violation logs, contracts, and correspondence.
  • Prepare letters, notices, reports, and community communications.
  • Assist with invoice processing, purchase orders, collections, assessments, and budget preparation.
  • Track insurance certificates, vendor contracts, licenses, and compliance documentation.
  • Support Property Managers with general administrative tasks and special projects.

Maintenance & Vendor Coordination

  • Enter, monitor, and close work orders.
  • Coordinate with vendors and contractors to schedule maintenance and repairs.
  • Assist with property inspections and document maintenance concerns.
  • Follow up with vendors to ensure work is completed accurately and on schedule.
  • Support capital improvement and preventive maintenance initiatives as directed.

Community Support

  • Assist with resident communications, newsletters, and community announcements.
  • Help coordinate community events and meetings.
  • Provide administrative support during emergencies by assisting with resident communication and vendor coordination.
  • Perform additional administrative duties as assigned by the Property Management team.

Requirements

  • Active Florida LCAM license
  • CAI credentials (CMCA, AMS, or PCAM) are a plus.
  • Business-fluent English is required; business-fluent Spanish is a plus.
  • High School Diploma or GED required; Associate's or Bachelor's degree preferred.
  • 1–3 years of experience in HOA, condominium, property management, or real estate roles.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Experience with property management software such as TOPS, CINC, Yardi, Vantaca, or similar systems.
  • Experience supporting homeowners and residents.
  • Experience supporting HOA or condo boards.
  • Experience coordinating with outside vendors or contractors.
  • Eligible to work in the United States.

Physical Requirements

  • Ability to sit for extended periods while working on a computer.
  • Ability to conduct occasional property walks and inspections.
  • Ability to lift up to 25 pounds when handling office supplies or meeting materials.
