 About the Role

We’re looking for a dedicated Pathology Support Specialist II to join our team and help us continue delivering the level of care our patients and families deserve. In this role, you’ll be a vital part of our support team, ensuring excellent service, collaboration, and patient outcomes in a fast-paced healthcare environment. The Pathology Support Specialist II will assist in various administrative support and laboratory responsibilities within Anatomic Pathology. This position is responsible for providing administrative assistance and support to the Medical Director, Pathologists, Pathologists’ Assistant, Laboratory Administrative Director, and Anatomic Pathology Manager. As the Pathology Support Specialist II, you will assist in resolving problems and participate in a variety of Quality Assurance activities.  You will handle patient care issues and assists the pathologists on a one-to-one basis.  This position develops basic knowledge of anatomy and physiology in a variety of disciplines such as Pathology, Pulmonology, Oncology, Gynecology, Gastroenterology, etc.  You will also be required to manage multiple tasks and assignments simultaneously.

What You’ll Do

  • Laboratory Registration: Registers patient scripts collecting demographic and insurance information to ensure proper billing to all parties, as well as inputs acceptable and accurate diagnosis codes for all registrations.
  • Requisition Maintenance:  Performs requisition functions including obtaining scanned requisitions, accurately ordering Anatomic Pathology  tests in the Meditech system, as well as investigating esoteric test orders to determine proper test and specimen requirements, making certain that laboratory test orders are compliant with regulatory agency requirements.

  • Specimen Processing:  Receive, sort, label and process specimens using organized and safe specimen handling requirements.  Demonstrates understanding of specimen type by preservative and anatomic site.  Maintains chain of custody processes as applicable.  Recognizes problems associated with specimen integrity and identification, and demonstrate proper notification for rejected specimens.

  • Laboratory Billing:  Identify diagnostic tests performed and process laboratory charges. 

  • Record Management:  Cataloging, filing, and retrieval of slides, paraffin blocks, paper and electronic records.  Prepares and organizes special stain slides from reference laboratories and sorts and delivers to ordering pathologist daily. Enters medical reports into electronic health records system via Meditech Scanning module and follows legal documentation requirements.  Assures medical reports are distributed and/or sent to appropriate provider.  Maintains files of Pathology requisitions, reports, and other documents in an organized manner. Demonstrates an understanding of the medico-legal implications and responsibilities related to patient records to protect the patient and the institution.  Complies with policies and procedures related to confidentiality, amendment of medical records, release of information, patients’ rights, informed consent, etc.  Recognizes and reports problems,

Additional Responsibilities

  • Receives and records documentation for distribution of CAP and Proficiency Testing Program materials to appropriate pathology and clinical laboratory departments.
  • Organize slides and agendas for Tumor Board meetings scheduled bi-weekly.
  • Assists in additional responsibilities as assigned by Medical Director, Pathologists, Administrative Director, and Anatomic Pathology Manager.
  • Assists patients with billing concerns and directs them to the appropriate resources.
  • Maintain case files of digital pathology images and implement upon approval of Medical Director.
  • Establish employee files for all new hires.  File employee documents and maintain confidentiality of information in records.  Perform file audits as directed.
  • Plan menus and order catering for events.
  • Participates in training and orientation of staff.
  • Transcribes dictation from pathologists upon request

What You Bring

  • High school diploma or GED required with at least two years of   medical secretarial, phlebotomy or patient access experience in a healthcare setting.  Associates degree preferred.  Medical terminology education preferred.
