Job description

Allient Inc. is in growth mode and currently seeking a Part-time Office Coordinator to join our team in Rochester, New York! 

The Office Coordinator will provide administrative support to ensure the efficient function of daily office activities. They will be responsible for maintaining inventory of necessary office supplies, providing general assistance to administrative activities including data entry, filing, document preparation, and office projects. Responsibilities:

  • Order, maintain and restock office supplies/inventory 
  • Provide administrative support to office staff, including data entry, document preparation and phone support to field calls and connect to appropriate team members
  • Assist with office operations including copying, scanning, mailing, and organizing both physical and digital documents
  • Communicate with vendors regarding orders, pricing, and product availability
  • Coordinate office events, lunches, and employee recognition activities
  • Serve as the focal point between company and outside vendors/building maintenance called in to fix problems.
  • Maintain office organization and appearance
  • Receive/distribute incoming and outgoing mail 
  • Other duties as assigned 

Minimum Qualifications:

  • High school diploma or equivalent required
  • Associates or higher degree in business, office administration, or a related field preferred
  • At least one (1) year of administrative, clerical, office support, or customer service experience
  • Proficiency with the Microsoft Office Suite
  • Experience with data entry and maintaining records

Skills:

  • Exceptional organizational, planning, and task management skills
  • Customer service mindset with strong interpersonal and communication skills
  • Strong attention to detail and accuracy
  • Ability to prioritize multiple tasks, solve problems independently, and adapt to changing priorities

Work Environment:

  • Availability to work 20–24 hours per week during standard business hours (8:00 a.m. – 5:00 p.m.), with a flexible schedule to meet business needs.
  • While performing the duties of this job, the employee is occasionally required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee may occasionally lift and/or move up to 25 pounds.
