JOB TITLE: Team Administrator
CLUB: Seattle Reign FC
DEPARTMENT: Reign Soccer Administration
REPORTS TO: VP, Reign Sporting Operations
TYPE: Full-Time
FLSA: Exempt
TYPE: Individual Contributor
OUR CLUB
Seattle Reign FC is a prominent professional women's soccer team competing in the National Women's Soccer League (NWSL). Known for its dynamic play and passionate fan base, Reign FC has made a significant impact on the soccer landscape since its inception. Reign FC is committed to excellence both on and off the field, fostering a culture of inclusivity, community engagement, and social responsibility. Through various initiatives and partnerships, the club strives to inspire and empower the next generation of soccer players and fans, solidifying its place as a cornerstone of the Seattle sports community.
POSITION SUMMARY
Seattle Reign FC is seeking a highly organized, service-driven Team Administrator to support first team travel, matchday operations, and the seamless delivery of daily team logistics across every environment in which the club trains and competes.
This role is ideal for an operational anchor - someone who thrives behind the scenes, anticipates needs before they arise, and takes deep pride in delivering an exceptional, professional experience for players and staff. The Team Administrator brings a hospitality mindset, extraordinary attention to detail, calm judgment under pressure, and clear, tactful communication.
Reporting to the Vice President, Sporting Operations (Reign), this position serves as a trusted operational partner and key point of connection across players, technical staff, club departments, vendors, and league partners. The work is fast-paced, highly visible in its outcomes, and essential to creating a consistently world-class team environment.
This is a role for someone motivated by excellence, energized by travel and driving operational success, and genuinely passionate about women's soccer and Seattle Reign FC.
ESSENTIAL DUTIES & RESPONSIBILITIES
  • Plan and execute all elements of first team travel logistics, including flights, ground transportation, lodging, meals and training venues, ensuring a seamless and consistent experience aligned with club standards of excellence.
  • Serve as the primary on-site operational point of contact during team travel, anticipating needs, responding to evolving circumstances, and resolving logistical challenges in real time with professionalism and sound judgment.
  • Independently advance and oversee the execution of travel operations in away markets by preparing hotels, training sites, transportation providers, and key operational details ahead of team arrival.
  • Partner closely with Coaching, Player Care, Security, Equipment, Medical/Performance, and Business Operations teams to support integrated team operations.
  • Own the development, accuracy and distribution of team schedules, travel itineraries, and operational information, helping stakeholders stay informed, prepared, and positioned for success.
  • Oversee and execute all team-related matchday operations for all Reign home matches, ensuring logistical execution supports team performance and professional standards.
  • Attend required NWSL league meetings, whether virtual or in person, and maintain a working knowledge of league rules, including the Competition Manual and Collective Bargaining Agreement, applying this knowledge to team travel, matchday operations, and visiting team coordination.
  • Serve as the primary point of contact for visiting NWSL teams traveling to Seattle, supporting hospitality coordination, and matchday logistics in accordance with league expectations.
  • Oversee and coordinate Reign's part-time Visiting Team Liaison to ensure visiting clubs receive organized, responsive support.
  • Manage assigned team operations budgets, exercising sound judgment.
  • Own the accurate tracking and reconciliation of team operational expenses, including invoices, receipts, and reimbursements, with timely submission and strong accountability.
  • Oversee and ensure the operational readiness of the training facility, including inventory management, restocking, and coordination of essential services.
  • Manage vendor servicing needs proactively, escalating issues appropriately to maintain a professional daily environment.
  • Perform other duties as assigned by the Vice President of Sporting Operations in support of team success and operational excellence.

QUALIFICATIONS
  • Demonstrated experience coordinating logistics, operations, or high-touch service delivery in a fast-paced environment (sports, hospitality, travel, events, or similar), with a strong service mindset and willingness to do what it takes to support the team. Sound judgment, discretion, and the ability to stay calm and solutions-focused in time-sensitive or unpredictable situations. Strong communication and interpersonal skills, with professionalism to work effectively across players, staff, vendors, and partners.
  • Detail-oriented and highly organized, with the ability to turn complex schedules and travel plans into a seamless, player-centered experience.
  • Able to work independently, take initiative and anticipate needs to ensure operational standards and team expectations are met.
  • Experience tracking expenses, managing invoices, or supporting operational purchasing processes with accuracy and accountability.
  • Enthusiasm for using technology to improve consistency and efficiency.
  • Full comfort with the realities of team travel, including frequent nights, weekends, holidays, and extended time away from Seattle during the NWSL season. Genuine interest in supporting women's soccer and excitement about contributing to Seattle Reign FC's success and values-driven culture.
  • This position requires a criminal background check after a conditional offer of employment and a valid passport.
  • Must hold a valid driver's license and have reliable transportation.
  • Capable of prolonged periods of standing and lifting up to 30 lbs.

WORK ENVIRONMENT
  • This role requires regular onsite presence at our Headquarters & Training Facility in Tukwila, WA and matches at Lumen Field and events and meetings in market as needed. Additional travel required for away matches.
  • Must be able to work a flexible schedule, including evenings, weekends, and holidays as needed.
  • Must reside within Washington state upon date of hire.
  • Must be able to facilitate own local travel.
  • Must be eligible to work in the US without sponsorship.
  • Responsibilities include regular work outdoors and may require standing on feet for long periods of time, as well as some lifting of up to 30 pounds.
