Job description

Contract Administrator

Our team is growing! We are seeking a detail-oriented Administrative Assistant to act as a Contract Administrator to help build and grow the business. The ideal candidate is organized, amicable, and wants to make an impact. The Contract Administrator will have a background in building and growing client relationships and a strong background in administrative roles. Reporting to the CEO, the Contract Administrator must be a motivated self-starter able to work effectively.

Location: Boca Raton, FL Schedule: Monday - Friday, Flexible Hours Pay: $15 - $17 per hour

Key Responsibilities

  • Manage post-award administration of contracts and open orders.
  • Update QuickBooks Online with bills, invoices, and create purchase orders to manufacturers and suppliers.
  • Submit Post-Award Requests (PARs) on the Dibbs Website and update customers about contract modifications or delays.
  • Track suppliers' on-time delivery performance in the ERP system.
  • Create invoices and receiving reports using the WAWF/PIEE system.
  • Generate military shipping labels for orders using the Vendor Shipment Module (VSM) system.

Qualifications

  • Bachelor's or Associate's degree in Business Administration, Accounting, or a related field.
  • 3-5 years of experience in an administrative role.
  • Strong organizational and time-management skills, with attention to detail.
  • Proficient in Microsoft Office Suite and contract management software.
  • Excellent communication skills, both written and verbal.
