Position Overview:

Schwabe, Williamson & Wyatt is seeking a full-time, Office Assistant in our Portland office. This position is in person Monday through Friday, 8:00am – 5:00pm, providing a variety of administrative support ‎alongside other members within our Shared Services Center team‎ as well as backup coverage to the receptionist.

The ideal candidate will be detail-oriented, highly organized, and able to follow procedures with accuracy. This candidate ‎must possess strong written and verbal communication skills. Success in this role requires the ability to take initiative, ‎manage a variety of tasks with a positive demeanor, turn work around quickly, and contribute to a collaborative team ‎environment‎

Key Responsibilities:

  • Pull and prepare documents for trial or hearing notebooks.
  • Prepare binders if requested.
  • Errands such as a delivery to nearby locations.
  • Create shell documents and correspondence.
  • Prepare and submit reimbursements with Concur for attorneys and paralegals.
  • Travel arrangements within Concur for attorneys and paralegals.
  • Electronic file management, including saving emails, documents, and assisting in organization.
  • Physical file management, including ordering redwells and inserts.
  • Transcription work as needed.
  • General back-up reception duties, including greeting clients, and guests, answering and directing phone calls.

Requirements:

  • Two years of office experience
  • High School diploma or GED required
  • Law firm experience preferred.
  • Customer service skills
  • Well-developed critical thinking skills
  • Advanced verbal and written communications
  • Excellent time management and quick decision-making skills
  • Warm, friendly, professional demeanor
  • Proficient in Microsoft Suite
