About the Role

Idea Nuova is seeking a Packaging Coordinator to manage the day-to-day execution of packaging programs. This person will own the tactical workflow of packaging development.

This is a hands-on, detail-driven role suited for someone comfortable tracking information from vendors, print partners, and cross-functional teams.

What You'll Do

Dieline & Packaging Form Management

  • Create and track task queues and respond to due dates
  • Complete packaging forms and gather the supporting documentation for each new item.
  • Own the daily tracking spreadsheet, correctly flagging packaging type per SKU (unbranded, hangtag, slit card, belly band, insert, licensed, and brand-specific callouts)
  • Request, collect, and upload dielines (AI + PDF formats) into systems for every new item.

Art Approval & Final Files

  • Chase down outstanding packaging dimensions and dieline files from Walmart contacts when a program is stalled, and escalate proactively rather than waiting on a deadline
  • Manage the packaging art proofing and approval cycle with our print vendors— review external and internal comments from stakeholders and route corrections back to the vendor
  • Confirm final packaging files are released and "posted" to the correct print/production box once approved

Compliance Coordination

  • Coordinate with QA/compliance contacts (e.g., third-party testing labs, Bureau Veritas) to get approvals unblocked when packaging is being held up by a pending test or certificate
  • Flag compliance failures immediately to the Packaging Manager and relevant internal stakeholders (production, PD) since these are common line-item blockers

Vendor & Cross-Functional Coordination

  • Serve as the day-to-day point of contact for packaging print/production vendors, following up on outstanding requests: dimensions, quotes, samples, mockups
  • Coordinate item creation / insert destination setup for store-shared SKUs with the sales/account team (e.g., completing item creation files, confirming image URLs)
  • Run a recurring internal check-in to review outstanding packaging requests and open "One Connect" items with the broader packaging/compliance team, keeping a running list

Reporting & Organization

  • Provide the Packaging Manager with a clear weekly rundown of outstanding approvals, vendor delays, compliance blockers, and anything at risk of missing a Walmart deadline
  • Stay current on published packaging standards and flag when a spec change affects an active program

Qualifications

  • 1–3 years of experience in packaging coordination, retail vendor management, production, or a related supply-chain role — experience with Walmart or another major retailer's private-brand packaging systems is a strong plus
  • Direct experience with dielines, and proofing/approval workflows required
  • Would be beneficial to have working knowledge of packaging compliance basics (law labels, care labeling, testing/certification processes like OEKO-TEX) or the ability to ramp up quickly on them
  • Comfortable managing a high volume of detailed, deadline-driven requests across multiple brands and vendors at once, without letting things fall through the cracks
  • Strong written communication — this role runs almost entirely through email and Teams with internal teams, external contacts, and print vendors
  • Proficiency with Microsoft Outlook, Teams, and Excel; comfort learning retailer-specific portals is expected
