Job description

Under the general supervision of the Logistics Manager, the Logistics Coordinator will be responsible for providing high-level clerical and administrative support to the Logistics Department. In addition, the Logistics Coordinator will manage relationships with local vendors and help with decision making that impacts the company's import and FOB shipments.

Requirements

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Entering shipment/vessel related information into the system such as container numbers, invoice numbers, vessel arrival dates, etc.
  • Processing and preparing invoice packets for our Accounting and Order Management departments
  • Maintain vendor relationships with local freight forwarders, drayage companies, and factories overseas
  • Follow up with vendors to ensure all import shipments are booked and shipped on time
  • Follow up with vendors to ensure that all shipping documents are received and processed in a timely manner
  • Review and approve shipment bookings with freight forwarders
  • Review and audit invoices that are received from our drayage and forwarding partners
  • Monitor the inbound container process and coordinate with our drayage partners and warehouse teams to ensure containers are picked up from the local ports and returned on time
  • Coordinate FOB direct shipments with overseas factories and vendors, including confirming cargo readiness, booking ocean/air freight, and tracking shipments from origin through delivery to ensure timely arrival
  • Other tasks as needed or assigned

QUALIFICATION REQUIREMENTS

EDUCATION AND WORK EXPERIENCE:  

  • High School Diploma Required
  • 1-2 years of experience in logistics, transportation, supply chain, or a related operational environment.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Detail oriented
  • Ability to work independently while maintaining accuracy
  • Ability to read and understand purchase orders, sales orders, invoices, packing lists, and Bill of Ladings
  • Experience with logistics systems, freight management, or transportation management tools preferred.
  • Experience working with domestic and international import/export carriers preferred.
  • Experience supporting customs clearance activities and transportation preferred.
  • Interest and ability to learn new software and programs
  • Ability to multi-task and navigate through various systems and tools
  • Excellent oral and written communication skills
