What is an overseas assistant?

Overseas Assistants are professionals who provide administrative, logistical, or support services to businesses or executives operating in foreign countries. Their responsibilities often include coordinating travel arrangements, managing communications between international offices, translating documents, and assisting with cultural adaptation. They play a key role in ensuring smooth business operations across borders by bridging language and cultural gaps, handling documentation, and supporting project management tasks. The specific duties can vary depending on the employer and the country of assignment.

What are the key skills and qualifications needed to thrive as an overseas assistant, and why are they important?

To thrive as an Overseas Assistant, you need strong organizational skills, cross-cultural communication abilities, and proficiency in at least one foreign language, often supported by a relevant degree or international work experience. Familiarity with travel management software, office productivity tools, and global communication platforms is typically required. The ability to adapt quickly, solve problems proactively, and demonstrate cultural sensitivity are key soft skills that set top candidates apart. These skills are crucial for ensuring smooth operations, effective support, and successful collaboration in diverse international environments.

What are some common challenges faced by overseas assistants when supporting teams across different time zones?

Overseas Assistants often coordinate with colleagues and clients in multiple time zones, which can make scheduling meetings and ensuring timely communication a challenge. To overcome this, they typically use shared calendars, clear communication protocols, and flexible working hours. Being proactive in managing expectations and maintaining regular updates with the team is key to ensuring smooth collaboration. Adaptability and strong organizational skills are essential for success in this dynamic environment.

Job description

ABOUT AIRRACK

Airrack is a tight-knit team that pulls off ambitious, innovative YouTube videos that get millions of views. We're creative, gritty, and passionate about making content no one else dares to. We work hard, have a great time doing it, and we're always pushing to see how far digital storytelling can go!

THE ROLE

We are looking for an assistant editor to join the Airrack team on site when the situation calls for it. You will be a critical part of the post-production workflow. You are the first point of contact for all incoming media and act as a bridge between production, post-production, and creative.

You also function as sort of a Media Manager — responsible for ingesting media into our media server, receiving cards/drives from production shoots, organizing files into appropriate folders, maintaining folder structures, and ensuring that assets are safely backed up and named properly.

This role requires attention to detail, clear communication, and the ability to think ahead. You're also expected to give feedback to remote editors and troubleshoot issues quickly when they arise.

RESPONSIBILITIES
  • Ingest media from production shoots
  • Track and update the Inventory Sheet
  • Delegate and review tasks for Overseas Assistant Editors
  • Use sync and conversion tools (Syncaila, HandBrake)
  • Apply in-house color label presets in Premiere Pro
  • Strong English comprehension for writing voiceover scripts and subtitles
  • Utilize Notion and Slack for team communication and task management
  • Export and deliver audio STEMS for dubbing
  • Archive completed projects to server upon delivery
