Job description

Eckerd College is currently hiring for the position of Mail Services Supervisor to join our team at our waterfront property along the Boca Ciega Bay in St. Petersburg, Florida, in our relationship-focused community. This position is essential in ensuring the efficient and effective operation of mail handling processes within the organization.

The Mail Services Supervisor oversees the daily operations of the mail services team, including the Operations Coordinator, Mail Clerk, and student workers. This role ensures the efficient flow, timely distribution, and accurate handling of all incoming and outgoing mail and packages. The supervisor is also responsible for maintaining compliance with all postal and shipping regulations, while ensuring proper processing, tracking, and accountability. 

The position requires the incumbent to have a strong understanding of postal regulations and procedures; familiarity with mail processing technology and software; and intermediate to advanced skills in  Microsoft Office (Word, Excel, PowerPoint and Outlook). Knowledge of Quadient WTS Tracking and Parcel Management System is necessary to successfully perform the duties of this position.

Key Responsibilities

  • Coordinate the daily operations of the Mail Center ensuring the accurate processing, sorting and distribution of all incoming mail and parcels through the internal package tracking system and parcel locker distribution system.

  • Assist in, and oversee the operation of, postal equipment to ensure correct processing and posting of outgoing mail in compliance with postal regulations, confirming accurate accounting of postal expenditures.

  • Assist with and oversee accurate processing and accounting of outbound shipments for overnight, ground or other service level agreements through various carriers such as USPS, UPS, FedEx, and DHL.

  • Manage and maintain all postage monetary accounts, as well as records of mailing and shipping transactions, generating monthly reports to the Business Office indicating volume and postage expenditures by department.

  • Regularly analyze and evaluate procedures and processes to ensure continual improvement.

  • Manage and maintain professional and effective relationships with carriers, service providers and vendors.

  • Communicate clearly and courteously with students, staff and faculty information regarding the receipt of packages and mail as needed.

  • In coordination with the Admission Office, maintain the assignment of student campus box numbers and communicate that information to New Students prior to their arrival.

  • Coordinate with Information Technology and vendors to maintain the database of student, staff and faculty names and departments, to make certain its accuracy and ensure the correct routing and distribution of mail and parcels.

  • Oversee and coordinate with the Operations Coordinator the interviewing and hiring of student workers.

  • Work with the Operations Coordinator to analyze the student workers’ course schedule to ensure that their work schedule does not conflict with academic requirements or federal regulations.

  • Track all student employees’ work schedules and total hours worked to ensure students do not exceed budgeted funds.

Qualifications

  • Associate’s degree or at least 3 years experience supervising a Mail Center, Warehouse Fulfillment Operation, or similar operation. The equivalent combination of education and experience may be substituted in lieu of a degree.

  • Must possess a valid Florida driver’s license and a clean driving record.
