Job description

Job Duties:

  • Oversee daily firm operations, administrative processes, and internal workflows - including but not limited to: Firm calendar; Managing the administrative support team; enforcing Policies and Procedures of the Firm; and managing client relationships

  • Develop and improve the Firm's policies and procedures.

  • Coordinate recruiting, hiring, onboarding, employee reviews, training, and other HR functions;

  • Oversee billing and accounts receivables, as well as client payment follow-ups and collection efforts

  • Coordinate with Firm vendors, technology providers, office resources, and operational needs

  • Support client-service efforts and help to proactively identify and resolve workflow or administrative issues

  • Coordinate marketing initiatives, including but not limited to:

    • Website management; SEO tracking; social media & digital content; and outside marketing (tradeshows; PPC; and Google Ads).

    • Manage and track Firm-wide projects and assist leadership with implementation of new systems, processes, and initiatives; and

    • Create and maintain internal resources, templates, trackers, and training materials.

Qualifications

  • 5+ years of experience in operations, law firm, office management, practice management, or similar leadership role

  • Law Firm or adjacent services experience is required.

  • Strong organizational, project-management, and problem-solving skills

  • Excellent written and verbal communication skills;

  • Experience with HR administration, employee management, and process improvement

  • Experience with Gusto HR is strongly preferred.

  • Ability to manage multiple priorities independently with strong attention to detail and follow-through

  • Professional judgment and discretion when handling sensitive confidential employee, client, and Firm information.

  • Enjoys keeping a fast-paced organization running smoothly, takes initiative, and is equally comfortable managing day-to-day needs and longer-term projects.

  • Ability to think on their feet

  • A proven interest in the legal industry; and polished and professional demeanor/presentation.
