Job description

Position Summary & Objective
The Materials Coordinator manages the flow of materials within an organization. This role
coordinates the receipt, storage, and distribution of materials to ensure timely availability for
production or project needs. The Materials Coordinator works closely with suppliers,
warehouse staff, and production teams to maintain optimal inventory levels, support
production schedules, and minimize downtime.
Essential Functions Performed by the Position
• Monitors inventory levels to ensure adequate supply of materials while minimizing excess
inventory.
• Conducts regular inventory counts and reconcile discrepancies.
• Maintains accurate inventory records using inventory management software.
• Coordinates the receipt of materials from suppliers, ensuring all deliveries are accurate and
meet quality standards.
• Inspects incoming materials for damage or defects and handle any discrepancies with suppliers.
• Organizes and maintains the storage of materials in the warehouse or storage area in a manner
that is safe, efficient, and easy to access.
• Coordinates the distribution of materials to production lines or project teams according to
schedules and priorities

Ensures timely delivery of materials to support production or project
deadlines.
• Communicates with suppliers to track orders, resolve issues, and maintain strong supplier
relationships.
• Coordinates with procurement to ensure timely replenishment of materials.
• Maintains accurate records of material transactions, including receipts, transfers, and usage.
• Prepares reports on inventory levels, material usage, and supplier performance.
• Identifies opportunities to improve materials management processes and implement best
practices.
• Participates in continuous improvement initiatives to enhance efficiency and reduce costs.
• Follows safety procedures to prevent accidents and injuries in the workplace.
• Works closely with production, procurement, and quality assurance teams to align materials
management with overall operational goals.
• Support cross-functional projects and initiatives as needed.

• Must have previous knowledge & experience of arranging international shipping.
• Must have excellent written and verbal communication skills as the role is customer facing.
• Must have excellent computer skills and be familiar with MAS, Excel, and Export documentation
packages.
• The ability to work accurately paying close attention to detail is essential.
• Must demonstrate the highest level of integrity, discretion, and confidentiality to be always
exercised.
• Should possess a professional telephone manner.
• Should possess the ability to work to strict deadlines and priorities.
