Who we're looking for

We're looking for a sharp, proactive, and culturally fluent Marketing Coordinator to support the Project Manager and Production Lead across day-to-day marketing execution, content coordination, and client-facing communications. This role is responsible for executing content, campaigns, and communications across all channels — ensuring consistency, quality, and alignment with each brand's strategy and tone. You'll work across multiple initiatives and brand environments, supporting both internal operations and external client deliverables. The Marketing Coordinator is expected to operate with a high degree of autonomy — managing workstreams independently and moving work forward in direct coordination with the Project Manager & Production Lead, without requiring constant direction. This role is built for someone who takes initiative, anticipates needs, and ensures nothing falls through the cracks. Trolley operates with an AI-first mindset, and this role is expected to leverage AI tools to accelerate content creation, research, ideation, and workflow efficiency. This is a full-time, execution-driven role requiring a balance of hands-on execution, content ideation, and multi-initiative coordination.


Key Responsibilities1. Content Creation & Ideation
  • Create and develop content across social media (short-form & Long Form), Substack / newsletters, client and mentorship communications
  • Review and ensure quality, tone, and consistency across all content and communications before delivery
  • Adapt tone and messaging across different brands and clients
  • Propose content ideas based on trends, platform behavior, and performance
  • Translate strategic direction into actionable, ready-to-execute content
  • Continuously suggest improvements in messaging, formats, and distribution
  • Ensure content supports visibility, engagement, and business objectives across clients and internal initiatives
2. Campaigns, Communication & Community
  • Support execution of campaigns, launches, and brand initiatives
  • Draft emails (invites, follow-ups, announcements), campaign messaging and social captions with support of the Marketing and Ops Assistant.
  • Prepare communications for mentorships and memberships to drive engagement, retention, community growth
  • Support event marketing invitations, messaging, and promotional materials
  • Ensure all communications are aligned with brand tone and objectives
3. Planning, Coordination & Client Support
  • Build and manage content calendars based on team priorities
  • Coordinate with production, design, and internal stakeholders to ensure timely delivery
  • Assist in preparing client-facing materials (presentations, briefs, communications)
  • Support coordination with external stakeholders and client contacts
  • Maintain clear workflows, documentation, and alignment across projects
  • Assist with marketing coordination for events and media initiatives

Important: organizes and supports execution, but does not own final publishing or launches

4. Distribution, CRM & Operational Support
  • Prepare and review content across platforms (Instagram, TikTok, LinkedIn, Substack, YouTube), ensuring all pieces are optimized per platform
  • Support email marketing execution (build, format, basic tracking)
  • Maintain organized records of contacts, guests, and collaborators in CRM
  • Track outreach status, confirmations, and follow-ups in coordination with the Project Manager and support of the Marketing & Ops assistant.
  • Coordinate with Project Manager and Production Lead podcast and media workflows: Guest coordination, asset preparation, content support.
  • Review all public-facing communication (including mentorships/events), to ensure brand alignment before delivery
5. Performance, Systems & Optimization
  • Track key content and campaign metrics (engagement, reach, performance)
  • Identify what is working and propose improvements, iterating quickly based on insights
  • Use AI tools to: Support content creation, Improve efficiency, Assist with ideation and formatting
  • Operate with speed and consistency across multiple workstreams without sacrificing quality
  • Continuously improve workflows and contribute to scalable systems
Role Positioning

This is a senior, execution-driven role within the marketing and production team. The Marketing Coordinator is expected to operate with autonomy — making decisions independently, moving work forward consistently, and coordinating directly with the Project Manager without needing constant check-ins. The Marketing Coordinator adds value by:

What You Bring:

Required Skills & Experience

  • Direct experience using AI tools (ChatGPT, Claude, Perplexity, Lovable, or equivalent) is non-negotiable.
  • 2–4+ years of experience in content marketing, social media coordination, or a related marketing role
  • Proficiency with tools such as ClickUp, Metricool, Canva, Slack, and Google Drive
  • Strong writing and communication skills — clear, concise, and adaptable across brand voices
  • Solid understanding of social media platforms, content formats, and digital trends
  • Ability to manage multiple initiatives simultaneously without losing quality or detail
  • Proactive mindset — brings ideas and solutions without being prompted
  • Organized, detail-oriented, and comfortable operating in fast-paced environments

Preferred Qualifications

  • Background in a creative agency, media, or influencer marketing environment
  • Experience working with personal brands, creators, or podcast-driven content formats
  • Familiarity with client-facing environments and external stakeholder communication
  • Fluent in Spanish is a plus
