Position Overview:
The Operations Coordinator provides flexible operational support across Anovaeon's case processing program and broader operational activities. This role assists leadership with program coordination, logistics planning, documentation development, reporting support, and operational problem solving.
The Operations Coordinator serves as a versatile operational resource capable of supporting a wide range of program needs. Responsibilities may include assisting with standard operating procedure development, preparing operational reports, coordinating logistics, supporting communication with external partners, and helping leadership implement operational initiatives.
This role reports directly to the Processing Operations Director and may provide support to other program leadership as needed. While the position may initially support on-site operational setup activities, the role is primarily designed to support program operations at the corporate level with periodic travel to operational sites.
Essential Functions:
Program Coordination & Operational Support
  • Provide broad operational support to program leadership across case processing operations
  • Assist leadership in coordinating operational initiatives and program priorities
  • Support the implementation of operational processes and improvements across the program
  • Help facilitate communication and coordination between internal teams and operational sites

Reporting & Data Support
  • Assist with compiling operational reports, staffing summaries, and program performance updates
  • Pull and organize data from operational systems to support leadership decision-making
  • Support development of dashboards, status reports, and operational briefings
  • Assist leadership in tracking program metrics and operational performance indicators

Documentation & SOP Development
  • Assist with drafting and maintaining standard operating procedures (SOPs) and operational guidance documents
  • Support documentation of workflows, processes, and program requirements
  • Maintain organized records of operational documentation and internal guidance materials
  • Coordinate updates to operational procedures as program requirements evolve

Logistics & Administrative Coordination
  • Assist with coordination of travel arrangements, including travel scheduling, lodging, and logistical support for program personnel
  • Support procurement coordination and logistical planning for operational needs
  • Assist with scheduling meetings, coordinating operational calls, and maintaining action trackers
  • Support onboarding logistics for new personnel and operational staff

External Coordination
  • Assist leadership with coordination involving partner organizations, contractors, and external stakeholders
  • Support preparation of materials or documentation needed for coordination with government personnel or operational partners
  • Help ensure timely communication and follow-up with external entities supporting program operations

Special Projects & Operational Initiatives
  • Support leadership with special projects and operational initiatives as assigned
  • Assist with operational planning for program expansion, new site support, or organizational initiatives
  • Provide flexible support to help resolve operational challenges and facilitate program success

Knowledge and Skills

  • Experience working in fast-paced operational environments strongly preferred

  • Fully onsite position within an ICE processing facility in Maryland
  • Initial support may include on-site presence during program start up
  • Standard administrative office and processing facility environment
  • May involve extended periods of computer work and documentation processing
  • Fast-paced operational environment requiring attention to detail and professionalism

Physical Requirements:
  • Ability to sit at a computer workstation for extended periods while conducting data entry and interviews
  • Ability to stand and walk for extended periods during facility operations (up to 8-12 hours per shift)
  • Ability to lift, carry, and move supplies and equipment up to 50 pounds
  • Ability to bend, stoop, reach, and perform repetitive motions
  • Capability to work in varied environmental conditions (indoor/outdoor, temperature variations)
  • Ability to respond quickly to emergency situations throughout the facility
  • Visual acuity for detailed computer work and document review
  • Auditory ability to conduct interviews and monitor facility for safety concerns
