Job description

The Operations Coordinator will support the Operations team in a multitude of ways, including data collection and analysis, working closely with our Order Administration team to keep backlog clear and large orders organized. This role would require frequent presence in our Minden, NV warehouse, with occasional travel to the San Jose, California headquarters.

Main Tasks and Responsibilities:

  • Manage strategic projects such as EDI implementation with key customers and designing requirements for AI order entry tools.
  • Review Order Backlog in NetSuite and work with the OA team to make sure orders are getting processed in a timely fashion and not getting stuck.
  • Coordinate large orders/shipments with OA team, warehouse to make sure they ship on time and to customer expectation. This is especially important at month/quarter end.
  • Help keep process documentation up to date - OA's, Warehouse, 3PL
  • Focus on Order Administration
  • Reconcile inventory at all warehouse locations monthly and quarterly. Some quarterly reconciliations involve on-site auditors at the Minden location.
  • Keep Operations dashboards up to date, edit as needed by team (strong Excel skills, experience with Power BI a plus)
  • Focus on Order Administration stats for throughput and efficiency
  • Create/manage RMA's for special customers/ situations and work directly with customers to get goods returned and tested for failure analysis.
  • Help with Serial Number uploads for transactions in NetSuite when goods ship from the manufacturers
  • Help with fixing Serial Number issues in NetSuite at our warehouses
  • Onsite assistance in SJ office as needed for special events
  • Assist with logistics issues with inbound/outbound shipments, customs issues, lost or late shipments, etc
  • Help Sales/Marketing with trade show shipments

Skills and Requirements:

  • Bachelors degree from 4 year university
  • Strong organizational skills and attention to detail
  • Proficient with MS Office suite of products, especially Excel, Powerpoint
  • Able to work evenings and across time zones as needed to complete important tasks
  • Can accommodate light travel as needed
  • "Can do" attitude in approaching challenges
