Proposal Support CoordinatorThe Proposal Support Coordinator contributes to the development of high-quality, compliant, and compelling proposal submissions.
Working as part of the proposal team, this role is responsible for developing and maintaining core content, including resumes, project profiles, and standardized proposal materials, while supporting the execution of active pursuits.
The position plays a key role in strengthening content quality, consistency, and readiness across all submissions.What You Will Be Working On

Proposal Development

  • Contribute to the preparation and assembly of proposal submissions (RFQs, RFPs, EOIs, and pre-qualifications)
  • Develop and format submission content to ensure clarity, consistency, and alignment with client requirements
  • Review documents for completeness, accuracy, and adherence to proposal standards
  • Collaborate with internal stakeholders to gather, refine, and integrate technical inputs into proposal documents

Content Development & Library Ownership

  • Develop, format, and continuously enhance resumes/CVs for key personnel, ensuring they are tailored, accurate, and aligned with pursuit requirements
  • Build and maintain a structured content library, including project descriptions, resumes, and reusable proposal content
  • Draft and refine project summaries, staff profiles, and standard narrative content to support ongoing and future pursuits
  • Proactively identify content gaps and update materials to improve quality, consistency, and ease of reuse
  • Ensure all content reflects current capabilities, messaging and branding standards

Coordination & Process Contribution

  • Track proposal milestones and contribute to maintaining efficient workflows across multiple pursuits
  • Participate in proposal planning and review activities, capturing inputs and aligning deliverables
  • Maintain organized document management practices, including version control and file structure
  • Contribute to continuous improvement of templates, tools, and content management practices within the team

Qualifications

  • Post-secondary education in Business, Communications, Marketing, English, or a related field is preferred
  • Equivalent experience in proposal development, content writing, or document coordination will be considered
  • Strong writing, editing, and document formatting skills with a high attention to detail
  • Ability to translate technical information into clear, structured, and client-focused content
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel), particularly in document formatting and layout
