Key Performance Indicators / Duties & Responsibilities

  • Coordinate the day-to-day administrative and operational activities of the Spares Department to support efficient workflow across the Sales, Purchasing, Repairs, and Internal Operations functions.
  • Maintain sales orders, purchase orders, repair orders, quotations, and related documentation, ensuring accuracy and timely completion.
  • Provide administrative and operational support to the Sales, Purchasing, Repairs, and Internal Operations teams to support daily departmental activities.
  • Maintain accurate records, reports, tracking spreadsheets, and ERP system data to support departmental planning, reporting, and workflow management.
  • Monitor the status of orders, projects, and departmental activities, following up with internal teams, customers, and vendors to ensure timely completion.
  • Prepare and maintain departmental reports, dashboards, tracking tools, and operational data to support workload management and departmental performance.
  • Coordinate the flow of information and documentation between Sales, Purchasing, Repairs, Internal Operations, and other departments to support efficient operations.
  • Review documentation for accuracy, identify discrepancies, and coordinate timely resolution with the appropriate internal stakeholders.
  • Maintain organized electronic and physical records in accordance with company policies and procedures.
  • Support departmental initiatives by assisting with reporting, documentation, process improvements, and other operational activities as required.
  • Demonstrate the ability to work effectively with individuals across the organization while upholding company values, vision, and mission.
  • Perform other duties as assigned by the Director of Spares.

Qualifications

  • Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
  • Advanced proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Excellent written and verbal communication skills with the ability to collaborate effectively across multiple departments.
  • Strong attention to detail with the ability to maintain accurate records, reports, and departmental documentation.

Experience

  • Minimum 2 years of experience in an administrative, coordination or operations support role.
  • Experience working with ERP systems is considered an asset.
  • Experience supporting cross-functional teams in a fast-paced environment.
  • Aviation industry experience is considered an asset.
