Position Overview

We are looking for a highly organized, detail-obsessed HR & Operations Coordinator to join our Calgary head office.


Reporting directly to the CEO, you will own people operations end-to-end while supporting sales operations, accounting, marketing logistics, and company events. This role touches nearly every part of the business, from recruiting and onboarding through invoice processing, fleet coordination, and event logistics. You will manage several moving parts at once with a high degree of autonomy, so if catching things before they slip is genuinely how you are wired, you will do well here.


Your time will be split roughly as follows: Human Resources (60%), Administration & Operations (30%), Marketing & Events (10%).


Key Responsibilities

Human Resources (60%)

  • Own full-cycle recruitment: posting roles, screening applicants, coordinating interviews, and preparing offer letters.
  • Lead onboarding and offboarding workflows, ensuring a seamless experience for new hires and departing team members.
  • Own and administer GAM Tech's BambooHR platform, maintaining accurate employee records, HR documentation, and compliance filings, and keeping the system current and optimized as we grow.
  • Own and maintain GAM Tech's Trainual platform, building, updating, and organizing company policies, procedures, and onboarding content.
  • Coordinate payroll processing and benefits administration.
  • Support performance review cycles, training coordination, and employee engagement initiatives.
  • Support HR administration across multiple provinces as we expand, including Alberta, British Columbia, Ontario, and Quebec.
  • Respond to employee inquiries on HR policies, benefits, and procedures with professionalism and discretion.
  • Support culture and recognition programs aligned with our Great Place to Work certification and our EOS-driven values.

Administration & Operations (30%)

  • Process and track customer orders, renewals, and procurement requests in coordination with the CSM team.
  • Assist with invoice processing, purchase orders, and vendor billing coordination.
  • Support the accounting team with data entry, reconciliation tasks, and document management.
  • Help maintain accurate records across our PSA and billing systems.
  • Follow up on outstanding items, approvals, and documentation.
  • Handle day-to-day office administration: vendor coordination, supplies, facilities, and general operational support.
  • Support leadership with scheduling, travel coordination, and internal communications.
  • Maintain and coordinate GAM Tech's company vehicle fleet, including scheduling maintenance, managing registrations and insurance, tracking usage, and keeping vehicles in good operational order. This includes driving company vehicles to and from service appointments and running occasional local errands for supplies, event materials, and office needs.

Marketing & Events Support (10%)

  • Coordinate logistics for company events, client appreciation initiatives, and team-building activities.
  • Manage vendor relationships and bookings for internal and external events.
  • Support social media posting and scheduling across GAM Tech's channels.
  • Assist with marketing coordination tasks such as swag ordering, sponsorship logistics, and community engagement.


Qualifications & Experience

  • 2+ years in an HR coordinator, administrative coordinator, or similar generalist role.
  • Post-secondary education in Human Resources, Business Administration, or a related field.
  • Working knowledge of Canadian employment standards, particularly the Alberta Employment Standards Code.
  • Proficiency with HRIS systems.
  • Exceptional attention to detail and personal organization; you catch errors others miss and you manage competing priorities without dropping the ball.
  • Strong written and verbal communication skills at all levels of the business.
  • A proactive, self-starting mindset; you are comfortable owning a broad remit without a lot of hand-holding.
  • Valid Class 5 Alberta driver's licence in good standing, as this role involves operating company vehicles and running local errands.


Preferred

  • Hands-on BambooHR experience, as you will own and administer the platform.
  • Exposure to Ontario ESA and Quebec employment requirements, or a willingness to learn them as we expand.
  • Experience with Trainual or a similar policy and procedure documentation platform.
  • Experience with invoice processing, order management, or accounting support.
  • CPHR designation, or actively pursuing one.
  • Experience coordinating events or supporting social media in a professional setting.
  • Comfort in a tech-forward environment where processes are always improving.

Work Schedule
