Job description

The Opportunity

We're looking for an Operations Manager to build the operating backbone that supports Cybrid as we scale. You'll own the processes that keep a fast-moving, cross-functional company running. From documenting how work actually gets done, to driving the rollout of new products to partners, to keeping leadership aligned on quarterly priorities. This is a hands-on role for someone who sees the full picture, spots opportunities to improve, and puts systems in place that keep things running smoothly.

You'll work closely with leaders across Product, Marketing, Compliance, Support, Finance, HR, and Engineering, reporting into the executive team. If you like turning ambiguity into clear processes, and you want the ownership that comes with being first to build it, this is for you.ย Given the highly collaborative nature of this role, 1-2 days in the office per week is required.

What You'll DoOperational Strategy & Governance
  • Document, validate, and continuously improve Cybrid's core business processes, with particular emphasis on cross-functional workflows that span multiple teams.
  • Monitor adherence to operational processes - ensuring each step is followed and properly documented - and flag gaps before they become problems.
  • Identify opportunities to automate manual processes and procedures, and drive those automation initiatives from idea to implementation.
Executive & Corporate Support
  • Design and run Cybrid's operating cadence - weekly leadership sync, monthly all-hands, and quarterly Rocks reviews - with clear agendas, action items, and follow-through on accountability.
  • Manage the quarterly Rock-setting process (company priority planning), from facilitation through documentation.
  • Drive cross-functional alignment on major company initiatives.
  • Organize and maintain Kanban boards across teams, and ensure consistent adoption company-wide.
  • Provide program management and reporting on major Rocks and process initiatives, giving leadership clear visibility into progress.
Product Operations
  • Build the processes and procedures for rolling new products out to partners.
  • Own and manage the program for product rollouts, keeping owners, milestones, and dependencies on track.
  • Maintain the process for updating partner and customer agreements, ensuring changes are tracked and executed consistently.
  • Support product launch activities end to end, coordinating timelines and dependencies across Product, Engineering, and Marketing.
Compliance & Customer Support
  • Partner with Compliance and Support to define and operationalize customer SLAs for response time and resolution.
  • Ensure support and compliance workflows are documented, measurable, and consistently followed.
Finance Support
  • Support finance operation workflows, including vendor and contract management (onboarding, renewals, and record keeping).
  • Own the board meeting preparation process - coordinating inputs, materials, and timelines across the leadership team.
HR & IT Support
  • Oversee device management across the company - procurement, provisioning, inventory, and deprovisioning.
  • Administer company-wide tools and software (e.g., Confluence, Jira), including access, configuration, and standards for use.
What You Bring
  • 4+ years in operations or business operations ideally at a startup or scale-up.
  • Excellent cross-functional communication - you build trust quickly, influence without authority, and bring people along on change rather than just announcing it.
  • A builder's mindset - comfortable with ambiguity and an ability to refine as we grow.
  • High attention to detail and strong follow-through.
  • A track record of documenting, owning, and improving processes that cross multiple teams.
  • Strong program management instincts - you keep initiatives, owners, and deadlines moving without being asked.
  • A naturally curious mindset - you want to understand how things work today so you can keep evolving them as we scale.
  • Hands-on familiarity with Jira, Confluence, and Kanban-based ways of working.
Nice to Have
  • Experience in fintech, payments, crypto/stablecoins, or another regulated industry.
  • Familiarity with EOS / Traction (Rocks, quarterly planning).
  • Exposure to vendor/contract management and board or executive support.
  • Experience administering company-wide SaaS tools and basic IT/device operations.
About The Role

This is a newly created executive role and does not backfill an existing position. We have a preference for candidates based in the Greater Toronto or Ottawa areas, though we remain open to strong candidates in other locations in Canada. Cybrid's team uses automated tools and artificial intelligence throughout our recruiting process, including for note-taking during interviews and to support the review of take-home exercises.

This role is levelled between Manager and Senior Manager, with a base salary range of CAD $130,000 - $175,000. Exact compensation will reflect the successful candidate's skills and experience, and we take a thoughtful approach to levelling and internal equity when determining offers.

The Process

At Cybrid, our interview process is designed to be transparent, efficient, and thorough, moving from an initial HR alignment call through a hiring manager deep-dive and cross-functional stakeholder reviews to ensure we find the perfect balance of technical expertise and culture fit.

These are the steps in our hiring process:

  1. Pre-Screen Interview with a member of our Talent team (Virtual)
  2. Hiring Manager Interview (Virtual)
  3. Cross-Functional Interview (Virtual)
  4. Culture Interview (Virtual)
  5. Founder Interview/Final Interview (On-site in Toronto or Ottawa)
