Job description

Role Description:

We are looking for an individual to split their time between Front Desk and Executive Assistant roles. The position will be full-time and in-person working out of our global headquarters in Rockefeller Center. This is a multi-faceted role working with our Director of Operations and attorneys. Responsibilities include, but are not limited to:

  • Front Desk
    • Opening or closing the office
    • Maintaining reception and welcoming clients, vendors, and guests
    • Providing hospitality to firm visitors
    • Restocking office spaces
    • Taking weekly inventory
    • Coordinating intern projects
    • Receiving, sorting, and distributing mail, packages, etc.
    • Working on special projects with our Director of Operations
  • Executive Assistant
    • Supporting 3 partners and a few other legal team members
    • Providing overflow assistance to our other two Exec Assists
    • Corresponding and coordinating with clients
    • Maintaining legal files (paper and electronic)
    • Client Intake (conflict check, client set-up, engagement letters, etc.)
    • Billing (generating bills and cover letters)
    • Calendar management, including coordination of meetings, calls and video conferences
    • Scheduling client events and entertainment
    • Assist attorneys with preparation for meetings
