Job description

JOB SUMMARY

The Connecticut Center for Entrepreneurship and Innovation (CCEI) at the University of Connecticut is seeking a full-time Program Operations Assistant (Educational Program Assistant 2). The incumbent will report to the CCEI Business Operations Manager and will provide operational and programmatic support for the Center.


This is a 12-month, end-date, annually renewable position. The position will be based in both the Hartford and Storrs office of CCEI, but may require travel to other in-state locations in support of program events and activities. Occasional weekend and evening hours may also be required.


DUTIES AND RESPONSIBILITIES

  • Serving as a resource to individuals and groups on matters relating to program activities, programmatic financial policies and procedures, and participant engagement across all CCEI initiatives and programs.
  • Performing operational duties in processing program-related administrative, academic, financial, payroll, travel, and program-related documentation and transactions.
  • Coordinating CCEI’s CRM database, including collecting, inputting, maintaining, and analyzing data for current and past program participants, events, and initiatives. Designing and running reports and providing data and analytics support to the Executive Director and Program Managers.
  • Supporting the annual CCEI program participant survey process, annual impact reporting, and all grant and donor reporting requirements by collecting, organizing, and maintaining program metrics and outcomes data.
  • Tracking program participation and attendance for all CCEI events and initiatives.
  • Coordinating administrative and operational functions for UConn’s NSF I-Corps Program, including participant and instructor documentation, reporting, scheduling, communication, and day-of-event support for cohorts, information sessions, webinars, and related programming. Serving as a coordination liaison between UConn and Princeton University and attending related hub meetings and team sessions.
  • Designing, implementing, and assisting with program application systems and processes, including data collection, automated workflows, participant communications, and submission tracking.
  • Tracking and processing participant awards, fellowships, reimbursements, and direct payments, and providing financial and program data to the Business Operations Manager to support budgeting, fiscal reconciliation, and financial oversight.
  • Supporting financial transactions for all CCEI programs, including reallocating ProCard expenditures, processing employee and participant travel, and submitting requisitions and related financial documentation.
  • Providing direct training, administrative support, and operational assistance to program participants, faculty, staff, and external partners, and following up to resolve issues in assigned areas of responsibility.
  • Performing related duties as required.


MINIMUM QUALIFICATIONS

  • Bachelor’s degree in business, entrepreneurship or related field.
  • Two to three years of administrative experience in higher education, business or an entrepreneurial setting.
  • Work experience with data collection, CRM/database management, and reporting processes.
  • Demonstrated proficiency with Microsoft Office 365 products and the ability to learn new software as necessary.
  • Demonstrated written, verbal, and interpersonal communication skills and the ability to build and maintain collaborative relationships with faculty, staff, students, administrators, external agencies/groups and the public.


PREFERRED QUALIFICATIONS

  • Demonstrated experience working in a higher education environment in a University setting.
  • Demonstrated experience processing financial transactions and using financial systems such as Kuali, Concur, and HuskyBuy.
  • Demonstrated experience working with Airtable or similar CRM.
  • Demonstrated experience using Generative AI to improve efficiency.
  • Demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment.


APPOINTMENT TERMS

This is a full-time, end-dated position with the possibility of renewal subject to performance and funding. The salary range for this position is $53,943 to $64,000, depending on education, qualifications, and experience.
