MM Hayes is seeking a highly motivated Operations Specialist to join our UKG Practice and support the continued growth of our organization. In this role, you will be responsible for managing incoming communications, assisting customers with inquiries, preparing and processing sales quotes, maintaining accurate records, and supporting key operational activities across the business. You will collaborate closely with clients and internal team members to ensure operational efficiency while delivering exceptional customer service. The Operations Specialist plays a critical role in supporting MM Hayes' commitment to providing outstanding service and maintaining strong relationships with our clients.
Key Responsibilities
§ Answer and direct incoming phone calls in a professional and courteous manner.
§ Assist customers by responding to inquiries and providing accurate information regarding products and services.
§ Prepare, process, and track sales quotes and related documentation through completion.
§ Maintain accurate customer, sales, and operational records to support business operations and reporting.
§ Coordinate communication between customers and internal departments to ensure timely resolution of requests.
§ Provide administrative and operational support to various departments and team members as needed.
§ Manage and organize electronic and physical filing systems.
§ Assist with data entry, reporting, document preparation, and process documentation.
§ Monitor office supplies, coordinate orders, and support general office administration activities.
§ Provide administrative support for management and department initiatives.
§ Support cross-functional teams with operational projects and business initiatives.
§ Maintain confidentiality of customer and company information.
§ Identify operational issues, customer concerns, and process inefficiencies when appropriate.
§ Support projects and perform other duties as assigned.
Qualifications
The Operations Specialist will serve as an important point of contact for customers, helping ensure smooth office operations while providing outstanding administrative and customer support. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a professional environment. The successful individual will have:
§ Bachelor's degree in Business Administration, Communications, Management, Human Resources, or a related field.
§ 2+ years of administrative, customer service, operations, or office support experience preferred.

Compensation
Starting salary: $45,000 annually, with a salary increase of $5,000 upon successful completion of the initial six-month introductory period.
