ESSENTIAL DUTIES AND RESPONSIBILITIES include the following but are not limited to the job specifications contained herein. Additional duties or job functions that can be performed safely may be required by supervisory personnel.

MAJOR FUNCTIONS OF ADMIN TEAM:

  • Office/Phone/Site Support
  • Resident Customer Service
  • Reporting/Compliance
  • Internal and External (Vendor) Contracts and Billing
  • Utility Management

DESCRIPTION:

  • Provide general office support and administrative assistance to the corporate staff, including but not limited to the following: front desk coverage during business hours; receive, process and distribute mail; key management for the sites; prep and print documents/reports/budgets as requested; maintain required listings and directories; assist with ordering, receiving, stocking of corporate office supplies; schedule/prep for meetings/events; other administrative duties as required.
  • Provide coverage and excellent customer service of front desk reception and incoming phone calls to the corporate office. These calls may be from Bader team members, residents, vendors, solicitors, utility companies, governmental officials, etc.
  • Provide excellent customer service and conflict resolution with appropriate parties as needed. Escalate requests to Operations Manager and/or other corporate staff, as necessary.
  • Maintain vendor related lists and processes for users, point of contact, contracts, credit applications, invoicing, activation/deactivation and monitoring all master accounts.
  • Complete licensing requests and requirements (rental and occupancy licenses, elevator, pool, alarm and office permits, commercial parking and garages and boilers), including maintaining an updated listing, postings, processing payments, and filing with the appropriate entity (Federal, State, County).
  • Assists in processing documentation associated with insurance claims including proposals, invoices, and potential resident insurance policies and readies for approval.
  • Complete site charge backs, track monthly move outs, shop assignments and billing, and reconciling cards as requested.
  • Administer and track the Reasonable Accommodation request process, respond in a timely manner. Seek out assistance or approvals for complex approvals and ensure compliance with state and local laws and Bader policies/procedures/best practices.
  • Responsible for placing and tracking orders placed on corporate credit cards for the corporate office and site teams.
  • Monitoring vendor insurance for compliance, ensuring all vendors meet Baderโ€™s company insurance requirements.
  • Assisting with setting up new vendors.
  • Support corporate office team during property onboarding and offboarding.
  • Provide Administrative support for Baderโ€™s Utility Management various needs:
    • Support properties and corporate with managing utility vendors including activations/deactivations, troubleshooting phones and internet issues, order upgrades, vendor swaps, tax exemptions on winter heat forms (ST3), sending weekly directories for JIT, scanning vacant utility bills, etc.
    • Research and send utility invoices to third-party companies and approve for AP to pay. Includes researching past due balances or large changes in cost.
    • Support activation of cell phone support for corporate and site employees.
    • Oversees utility and energy benchmarking process and lists and ensure reporting is accurate and timely.
  • Continually assess efficiency and effectiveness of processes and procedures of the duties outlined above and address potential opportunities for improvements with direct supervisor.
  • Other Miscellaneous duties as needed and assigned.

EDUCATION AND/OR EXPERIENCE: Minimum education requirement of high school diploma or general education degree (GED). Minimum two years of administration experience. Proven proficiency with Microsoft 360 tools (Excel, Word, Teams, CoPilot), Outlook and Yardi (or comparable Property Management software). Knowledge of multi- family real estate preferred.
